Reporting to the Head of Resourcing & Operations, the Operations Officer is a pivotal role ensuring we have efficient processes & systems in place to support the successful operation of the Digital Transformation Division. A dynamic and proactive problem solver, this role will help with the operations, resourcing, finance and data functionality. This role sits centrally and will assist with the different pods' data and reporting requirements.

This role description is not inflexible but is an outline and account of the main duties and capabilities. The role holder should, however, carry out any other reasonable duties commensurate with the role, as the needs of the company require.

  • Ensuring projects are accurately set up in Harvest in line with agreed Statements of Work.
  • Maintaining an accurate record of the contractor Live master, highlighting issues for the Resourcing & Operations team in weekly meetings.
  • Liaise with Resourcing and contractors on required information to draw up contracts for sign off.
  • Ensuring accuracy of data given by the resourcing team is written on the contracts, double checking data is correct, up to date and communication with the contractor is fulfilled with any changes, updates or questions.
  • To be the main point of contact for contractor queries and raise any issues that are problematic and need guidance.
  • Onboarding and offboarding duties for all staff and contractors where relevant - to include welcome emails, induction packs etc.
  • Liaise with contractors with ad hoc issues.
  • Add to Slack channel.
  • File signed contracts alongside ID/checks/insurance details appropriately.
  • Monitor BPS secure screening services checks are filed and completed.
  • Monitor the IR35 portal and inform Operations/Resourcing of any outstanding IR35 assessments.
  • Ensure all staff and contractors timesheets are in and checked by day 1/2 to ensure flash figures by day 5.
  • Work with capability leads & operational leads to ensure timesheets are completed on time and are accurate (to include contractors).
  • Project operations around staff travel (trainline, hotels, flights), expenses, incentives etc.
  • Staff/office admin - to include gift purchasing, events, conferences and personal development courses.
  • Takes the lead on pieces of work or takes on specific responsibilities/roles within their pillar, under the guidance of the Head of Resourcing and Operations.
  • Management of any issues and escalations in a timely and effective manner - identifying the root cause and solving for the immediate, but also for the future.
  • Offers guidance to other team members and knows when to seek guidance from more senior colleagues.
  • Takes responsibility for adding value through the quality and timeliness of their own work, stepping in to help others do so as appropriate.
  • Comfortable in managing priorities and highlighting need to push back where appropriate, ensuring assigned tasks can usually be completed within the standard working day.
  • Works flexibly in order to make significant contributions towards the successful delivery of outcomes.
  • Displays a willingness to question the way things are done and come up with suggestions for improvements where appropriate.
  • Focuses on the task in hand, avoiding distractions, and helping others to do the same.
  • Proactively provides status updates on assigned tasks, knowing when to raise or elevate issues within the team/management.
  • Builds effective relationships with the Division, team members and counterparts in other TPXimpact divisions.
  • Makes regular valuable contributions to operational meetings, driving operational process change for Digital Transformation.
  • Identifies gaps in process/policy and feels comfortable asking for clarification with the owner(s).
  • May deliver presentations to the division highlighting process change.
  • Writes clearly and professionally, and feels comfortable in sending internal communications via email or Slack.
