TPF Recruitment is proud to support a thriving and expanding accountancy firm in Canterbury, who are looking for a highly organised and proactive Personal Assistant and Team Coordinator. This is a key role, providing essential support to multiple Partners and their teams, ensuring smooth day-to-day operations and excellent client service.
The Role
You will be reporting to several Partners, offering a mix of executive-level support and team coordination. You will play a vital role in keeping business operations running efficiently while helping to maintain strong client relationships.
Your responsibilities will include:
- Administrative Support
- Provide high-level assistance to Partners
- Organise meetings, both virtual and in person, ensuring all materials such as agendas and minutes are prepared and circulated
- Follow up on agreed action points from meetings
- Assist with Partner timesheets, mileage claims and expense submissions
- Raise invoices and credit notes as needed
- Client Management
- Act as the first point of contact for clients, managing calls and emails professionally and efficiently
- Redirect enquiries to the relevant team members and ensure timely responses
- Support the onboarding of new clients and ensure all procedures are completed accurately
- Maintain and update internal records, systems and documentation
- Team Coordination
- Support communication between Partners and their teams
- Monitor deadlines and ensure progress is on track for key projects
- Help create and maintain an organised, professional and efficient working environment
Requirements About You
We are looking for someone who brings a proactive mindset and can balance multiple responsibilities with confidence and professionalism. You will ideally have:
- Previous experience as a Personal Assistant, Executive Assistant or Team Coordinator
- Experience in a professional services environment is preferred
- Excellent knowledge of Microsoft Office, especially Outlook, Word and Excel
- Superb organisational skills and the ability to manage competing priorities
- Strong written and verbal communication skills
- A professional phone manner and confident approach
- High attention to detail and a commitment to accuracy
- Discretion in handling confidential and sensitive information
- The ability to remain calm under pressure and meet tight deadlines
Desirable
- Experience working within accountancy or financial services
- Familiarity with CRM systems and project management tools
Benefits / What We Are Offering
A full-time office-based position in Canterbury 37.5 hours per week, Monday to Friday. A competitive salary, dependent on qualifications and experience.
