Role Purpose
The Stewarding Manager delivers the day-to-day stewarding resourcing operation, translating event requirements into accurate staffing plans and rotas, supporting recruitment/onboarding activity, and managing event-day staffing control. The role also supports the practical delivery of equipment and logistics (uniform, radios, PPE and issue/return processes), ensuring readiness, accuracy and auditability while supporting the event-day Safety Team as required.
Key Responsibilities
- Event staffing plans and rostering: Produce event-by-event staffing plans, post schedules and rota builds in line with agreed standards and Safety Team requirements. Publish rotas within agreed lead times, track acceptances and manage short-notice changes including absence cover and redeployments. Maintain staffing levels and ensure critical posts, supervisors and specialist roles are covered. Maintain accurate records in rostering systems and ensure version control and audit trails are maintained.
- Recruitment, onboarding and staff communications: Support recruitment activities: screening, scheduling, onboarding, inductions and allocation to roles/posts. Maintain accurate staff profiles including availability, competence/training status and relevant documentation. Provide clear and professional communications to stewards and supervisors (joining instructions, reporting points, standards, welfare information).
- Event-day staffing control and support to Safety Team: Lead staffing check-in/out operations, maintain live staffing lists, track no-shows and coordinate replacements/escalations. Support the event day Safety Team with staffing updates, redeployment options and readiness reporting. Capture staffing performance notes for debriefs and ensure actions are documented and followed through.
- Equipment and logistics (uniform, radios, PPE, accreditation interface): Plan and deliver steward kit logistics for each event, ensuring the right kit is ready, issued and returned. Manage radio allocation/collection processes and ensure equipment is maintained, counted and stored securely. Maintain stock control processes, monitor losses/damage and coordinate re-ordering and replacement. Coordinate with relevant teams on accreditation/badging needs and ensure controls are auditable.
- Audits, documentation and continuous improvement: Deliver regular audits of staffing, kit control and event-day processes, identifying improvements and correcting drift from standards. Draft and maintain operational documentation, checklists and SOPs for staffing and logistics processes. Produce event summaries and performance reports (fill rates, attendance/no-show, kit losses, exceptions).

Person Specification
Skills & Experience:
- Proven experience delivering rotas/staffing plans in a stewarding, security, venue operations or similar high-footfall environment.
- Strong event-day operational coordination skills with the ability to respond quickly and calmly to change.
- Practical experience managing uniform/radio/PPE logistics, including issue/return controls and inventory accuracy.
- Strong written skills for producing documentation and audit records.
- Confident IT user, comfortable with rostering systems and Microsoft/Google tools.
- Experience of using Venue Aware (Stewarding Management System).
