We are seeking an experienced and highly organised Executive Assistant to provide dedicated support to both the Chief Communications Officer and Chief Marketing Officer. This is a pivotal role designed to ensure the smooth and efficient operation of two busy functions, supporting senior leaders with high‐level administrative and organisational assistance.

Key Responsibilities

  • Provide proactive and comprehensive diary management for the Chief Communications Officer and Chief Marketing Officer, ensuring effective prioritisation of meetings and commitments.
  • Manage and monitor inboxes, drafting correspondence and ensuring timely responses and follow‐up actions.
  • Coordinate internal and external meetings, including scheduling, preparing agendas, collating papers, and taking accurate minutes where required.
  • Arrange domestic and international travel, accommodation, and detailed itineraries, ensuring all logistics are managed efficiently.
  • Process expenses, purchase orders, invoices, and other administrative requirements in line with company procedures.
  • Maintain accurate filing systems, records, databases, and shared documentation to support effective team operations.
  • Monitor and track actions arising from meetings, ensuring deadlines and commitments are met.
  • Act as a key point of contact for internal and external stakeholders, handling enquiries professionally and confidentially.
  • Build and maintain effective working relationships across the Communications and Marketing teams and wider business.
  • Coordinate meetings, workshops, and team activities, ensuring smooth communication and organisation.
  • Provide broader administrative support to both functions, contributing to the efficient running of the teams.
  • Identify opportunities to improve processes, organisation and ways of working, implementing solutions where appropriate.

Person Specification

Qualifications / Training

  • Strong working knowledge of Microsoft Office applications, including Outlook, Word, PowerPoint and Excel.
  • Demonstrable experience in a Personal Assistant, Executive Assistant, Team Assistant or Senior Administrative role supporting senior leaders.
  • Additional training in office management, project coordination or business administration.
  • Experience using diary management, collaboration and document management systems.
  • Minute‐taking or business writing training.

Skills & Experience

  • Proven experience as a Personal Assistant, Executive Assistant, Team Assistant or Senior Administrator supporting senior leaders in a fast‐paced environment is desirable but not essential.
  • Exceptional organisational and time‐management skills, with the ability to manage multiple priorities and deadlines effectively.
  • Excellent written and verbal communication skills, with the confidence to engage professionally with stakeholders at all levels.
  • Advanced proficiency in Microsoft Office applications, particularly Outlook, Word, PowerPoint and Excel.
  • Strong attention to detail and a high level of accuracy in all aspects of work.
  • Ability to work independently, use initiative and anticipate the needs of senior leaders.
  • Strong administrative and coordination skills.
