Due to continued growth, our Client is seeking a motivated and enthusiastic Document Controller to join the team. The Document Controller is responsible for the efficient management, control, distribution, and filing of project documentation across client portals. The role ensures that all project records are accurately maintained, easily accessible, and compliant with client and company procedures. Working closely with project teams, site staff, subcontractors, and clients, the Document Controller will support the smooth flow of information throughout the project lifecycle.
Responsibilities
- Upload, manage, and maintain project documentation within client SharePoint.
- Ensure all documents are correctly logged, distributed, tracked, and archived in accordance with project and client requirements.
- Monitor document submissions and approvals, ensuring revision control is always maintained.
- Organise and maintain internal electronic filing systems, ensuring project records are structured, accurate, and readily accessible.
- Support project teams with document management processes and procedures.
- Maintain registers for drawings, technical documents, correspondence, permits, and project records.
- Liaise with project managers, engineers, site teams, subcontractors, and client representatives to obtain and distribute required documentation.
- Ensure documentation is issued to relevant stakeholders within agreed timescales.
- Assist in the preparation and compilation of handover documentation and project completion records.
- Conduct regular audits of project files to ensure compliance with company and client requirements.
- Provide administrative support to project teams where required.
Candidate Requirements
- Previous experience in a Document Controller or Project Administrator role.
- Experience using electronic document management systems.
- Strong organisational skills with excellent attention to detail.
- Proficient in Microsoft Office applications, including Word, Excel, Outlook, and SharePoint.
- Ability to manage multiple tasks and deadlines effectively.
- Strong communication and interpersonal skills.
Desirable
- Ideally experience working within the utilities, water, construction, or engineering sectors.
- Knowledge of quality management systems and document control processes.
