The salary on appointment will be set at the lower end of the pay range, to a maximum of £30,463 depending on the candidate's skills and experience.

This approach aims to ensure fair compensation for new hires while maintaining alignment with the structured pay scale for the role.

Context and purpose of role

This role will support the People and Culture team in providing a high-quality people experience for volunteers and employees. This role is far more than just administration.

You’ll be a pivotal member of the team, being highly organised, flexible and supporting team members to achieve their objectives, whilst consistently maintaining high levels of customer service to the whole organisation.

The team is a centre of excellence and a resource that drives and supports the organisational strategy and work of other teams by:

Key responsibilities

  • Operational excellence
  • To lead and deliver outstanding administration and advisory support throughout the journey of all employees and volunteers at the Ramblers.
  • Proactively respond to first line internal and external queries, seek a resolution and (where needed) refer to appropriate person in the team.
  • Engage and proactively develop excellent working relationships with employees and volunteers across the organisation.
  • Proactively manage all data in our People systems, ensuring complete accuracy.
  • Employee and volunteer journey
  • Coordinate all aspects of the employee and volunteer journey including:
  • Deliver and support a sector-leading recruitment and onboarding experience for all our volunteers and employees in conjunction with key stakeholders across the Ramblers.
  • Management and development of our application tracking system to attract key talent.
  • Coordinate resources to ensure relevant materials are available to support volunteers, employees and their managers throughout their Ramblers journey.
  • Responsible for supporting the performance management and development of our people.
  • Manage the learning and development platform and support learning and development projects and activities.
  • People systems and data management
  • Ensure that all people related documentation is completed accurately and stored appropriately.
  • To manage the input and maintenance of people data on relevant systems, ensuring that records are accurate, updated and errors identified and resolved.
  • To ensure the processes, tools and resources available on Ramblers' systems are accurate, user friendly and support a great user experience.
  • Input, manage and interpret data to support the creation of reports to enable data led decision making.
  • Support the co-ordination of our people surveys and action plans.
  • Payroll and contractual
  • Responsible for the collation, preparation and checking of payroll information for all new starter and leaver information, pay changes, position changes etc, for submission to payroll for processing.
  • Maintain good knowledge and understanding of all relevant policies and procedures relevant to the role and keep up to date with employment legislation.
  • Responsible for the administration of our benefits programme.
  • Co-ordination activities
  • Assist in preparing notes, reports, presentations, and spreadsheets as required
  • Manage the team inbox(s), logging, dealing with and responding to queries regarding people opportunities, work experience, feedback, etc. and referring relevant queries to other colleagues or teams as appropriate.
  • Provide administrative support for larger team projects and activity, for example, employee surveys or volunteer recognition events.
  • Support the creation and development of inspirational employee and volunteer events and meetings.
  • Create peer support opportunities for employees and volunteers so that they can share experiences and learn from each other.
  • General
  • Undertake such other duties as may be required of the post.
  • Maintain a consistently high level of service to our customers.

Ensure high levels of confidentiality and credibility are always delivered, whilst being both proactive to the Ramblers needs, priorities, and deadlines.

  • We operate a hybrid working model.

The postholder will be expected to attend our London Bridge office for up to two days each month to take part in team meetings and collaborative working.

There is also the opportunity to work from the office on additional days if preferred.

  • Knowledge and Experience
  • Experience of working as a people or volunteering assistant role in a fast-paced business.
  • Experience of administering payroll.
  • Developing strong, collaborative relationships with a range of stakeholders.
  • Ability to deal and proactively manage conflict and/or difficult situations between people.
  • Experience of People systems/ Customer Relationship Management Systems and Microsoft office suite.
  • Excellent communication skills, both verbally and in writing.
  • Strong organisation skills and the ability to balance multiple demands.
  • Ability to maintain confidential information and treat sensitive matters appropriately.
  • Ability to balance multiple demands and a strong attention to detail and accuracy to data management.
  • Ability to work collaboratively at all levels across the Ramblers and with external agencies.
  • Understanding of employment legislation and how it applies to the Ramblers.
  • Part qualified or interest in pursuing the CIPD qualification.
