This is a high-impact opportunity for an experienced Executive Assistant to work directly with a Managing Director who moves extremely fast and runs multiple business ventures at once. The Managing Director works at speed — decisions are quick, priorities shift, and ideas turn into action rapidly. He needs a right-hand person who can keep up, think ahead, and stay organised while everything is moving. You'll be trusted with real responsibility and expected to operate with confidence, discretion, and initiative from day one. Strong experience supporting senior executives is essential, along with confidence working with numbers and Excel.
The role
Your mission is to keep momentum high and remove friction from the Managing Director's day. You'll manage priorities, filter information, and stay two steps ahead so things keep moving without delay. Some areas you'll fully own; others you'll run closely with the Directors. This is not a passive support role — it's for someone who takes control, solves problems quickly, and thrives on autonomy.
You'll receive full training, but once up to speed you'll be expected to operate independently and make smart decisions fast. You'll need to be calm under pressure, comfortable juggling multiple deadlines, and able to switch gears quickly without losing attention to detail. Exceptional organisation, speed, and accuracy are critical in this role.
What a typical day might include
- Daily morning EA Update/Review meeting with MD – this is sacrosanct including reviewing emails, diary and tasks in the Planner
- Rapid processing of financial paperwork including expenses, new accounts, credit cards, and mileage
- Handling incoming calls and urgent requests as they come in
- Managing the Managing Director's inbox and keeping it tightly controlled
- Preparing and submitting monthly payroll reports
- Tracking staff leave and absence for direct reports
- Managing the HRIS and inputting data, for all new starters, leavers, changes, etc.
- Managing all HR documentation including issuing offer letter, contracts of employment. Updating policies and procedures with the assistance of our HR consultant.
- Managing the onboarding process for new starters
- Placing job advertisement on the various Job Boards together with circulating internally and adding to the Totally Branded website Careers section
- Purchasing ad hoc supplies for the Directors at short notice
- Processing payments quickly and accurately
- Maintaining employee files and supporting compliance requirements
- Compiling monthly management information for the Directors
- Organising fast-moving meetings, agendas, and minutes where required
- Supporting company policies and compliance alongside the Directors
- Data entry and report preparation to tight deadlines
- Booking travel, hotels, and logistics at speed
- Creating, updating, and maintaining Excel spreadsheets
- Drafting and sending correspondence on behalf of the Managing Director
- Full diary management in a constantly changing schedule
- Liaising with external professionals such as accountants, suppliers, contractors, and maintenance companies
- Organising company events, conferences, supplier training days, Senior Management retreats and meetings
- Managing the office facilities and equipment

This role often means getting involved in lots of different areas of the business, sometimes at short notice, and figuring things out as you go.
