Job Summary

Location: Clydebank
Type: Office based full time
Hours of work: 8.00am - 4.30pm, Monday to Friday.

Our client is a thriving and growing SME business within the construction sector, looking for a dynamic Finance and Office Manager to become a key member of their team to lead the financial operations and oversee daily office functions.

Working closely with the Directors, you will take ownership of the administrative and financial operations of the business.

You will support, manage and develop the office team to ensure everything runs efficiently behind the scenes, allowing the Directors to focus on the operational and commercial growth of the company.

The ideal candidate will be proactive, organised, and possess excellent communication skills to foster a productive work environment.

You will play a pivotal role in maintaining financial accuracy, managing office administration, and supporting team collaboration to drive organisational success.

Duties

  • Work closely with the directors, providing high level business and administration support, ensuring priorities are managed and followed through.
  • Take ownership for the smooth running of the office, building a motivated and effective team. Providing clear direction, guidance and support.
  • Responsible for all financial activities including bookkeeping, budgeting, and expense tracking using Xero accounting software.
  • Manage accounts payable processes, ensuring invoices are accurately processed and paid on time.
  • Sales, purchase ledger and bank reconciliations, ensuring accuracy.
  • Maintain organised records of financial documents, receipts, and statements for audit readiness.
  • Run month-end closing activities by preparing reports and verifying data integrity.
  • Collaborate with team members to resolve discrepancies and improve financial procedures.
  • Payroll management on Xero accounting software.
  • Develop office procedures, identifying opportunities to improve efficiency, communication and organisation.
  • Coordinate human resources functions such as onboarding new employees, maintaining personnel records, and assisting with benefits administration.
  • Manage all communication channels including phone calls, emails, and in-person inquiries with professionalism and courtesy.

Skills

  • A qualification in Business Management/Accounting would be advantageous.
  • A confident and supportive management style, with proven experience of developing effective small administrative teams.
  • Comfortable working within an SME environment where responsibilities can be broad and priorities change quickly.
  • Proficiency in Xero accounting software for accurate financial management, payroll processing and comfortable learning other in-house systems.
  • Demonstrated team management experience with the ability to lead and manage an efficient small team.
  • Knowledge of human resources practices including onboarding, employee records management, and benefits administration
  • Excellent communication skills both verbal and written, to facilitate clear internal and external communication.
  • Exceptional organisational skills with attention to detail in managing multiple changing priorities simultaneously.

Experience in a construction, engineering or manufacturing SME would be advantageous.
