My client is looking for an experienced Office Administrator to join the team on a full time basis in North London.

Mon - Fri 8am - 5pm

Key Responsibilities

  • Administration — Maintain schedules, track progress, update internal systems, and support the Manager in coordinating all activities.
  • Engineer Coordination — Arrange engineer attendance, manage site access requirements, distribute technical documentation, and ensure all resources are prepared ahead of installation works.
  • Procurement Administration — Raise purchase orders, liaise with suppliers, track deliveries, and ensure materials are available
  • Client Liaison — Issue formal updates and support the delivery of professional client communication.
  • Financial administration — Assist with invoicing, cost monitoring.
  • Required Skills & Competencies
  • Organisational Excellence — Ability to manage multiple concurrent tasks with accuracy and attention to detail.
  • Technical Awareness — Understanding of security systems such as CCTV, access control, and alarm technologies (training may be provided)
  • Professional Communication — Clear, concise, and professional communication at all levels.
  • IT Proficiency — Competent in MS Office, project management platforms, CRM systems,
  • Analytical Thinking — Ability to identify issues, propose solutions, and support decision‑making processes.

Send reports to clients confirming completed jobs and providing updates.

Manage invoicing and credit notes in Simpro, making sure they are assigned to the correct jobs and clients.

Act as the main point of contact for Simpro Mobile and help implement the system so engineers can use it effectively.

Answer client calls and emails, resolving queries professionally.

  • Program access cards and fobs remotely through the portal.
  • Pack and prepare outgoing post
  • Also prepare the required documentation that clients request, such as RAMS, authorisation forms, and other job‑related paperwork
