The Administrator/Team Leader will be responsible for the day-to-day supervision of Estates Operations administrative staff Trustwide. The postholder will provide a high-quality administrative support service to the Assistant Head of Estates Operational Services across multiple localities, ensuring effective systems, processes, and staff management are in place.

Key Responsibilities

Administrative Duties

  • Supervise Estates Operations administrative staff across Trust sites.
  • Operate MICAD and BSTP finance systems for requisitions, purchase cards, fuel receipts, and invoice processing.
  • Maintain annual leave, sickness records, and on-call rotas (Rotawatch).
  • Draft and circulate notices regarding service disruptions (e.g., generator testing, road closures, maintenance).
  • Assist with departmental and regional training coordination and maintain training records.
  • Prepare reports and support service improvement projects.
  • Maintain effective communication with contractors, engineers, and staff at all levels.
  • Act as Contract Administrator for selected operational service and maintenance contracts.

Staff Supervision

  • Oversee day-to-day performance, cover arrangements, and morale of admin staff.
  • Carry out annual performance reviews and identify development needs.
  • Ensure induction, refresher, and update training is delivered.
  • Monitor absence in line with Trust policy and ensure accurate record-keeping.
  • Participate in recruitment, selection, and where required, disciplinary processes.
  • Work collaboratively with management to resolve operational and staffing issues.

Essential Criteria

  • HNC/HND or higher qualification in an administrative field with 1 year’s admin experience OR 4 GCSEs (A–C including English & Maths) with 2 years’ admin experience OR 3 years’ admin experience.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Access).
  • Full current UK driving licence and access to a vehicle (reasonable adjustments will be considered for applicants with disabilities).
  • Strong organisational and problem-solving skills.
  • Ability to manage and prioritise workloads, working to tight deadlines.
  • Effective communication skills, both written and verbal.
  • Ability to work independently and as part of a team.

Desirable Criteria

  • Previous experience working in an Estates environment.
