We are seeking an organised and proactive Medical Secretary to provide comprehensive administrative and secretarial support to the Consultant Psychiatrist(s) and wider multidisciplinary team.

The successful candidate will play a key role in ensuring the smooth day-to-day running of clinical services by managing medical correspondence, coordinating meetings, maintaining accurate patient records, and supporting effective communication across the hospital.

Key Responsibilities

  • Provide high-quality secretarial support to Consultants and the wider medical team.
  • Audio and copy type clinical correspondence, clinic letters, reports and discharge summaries.
  • Manage Consultant diaries, appointments and meetings.
  • Coordinate multidisciplinary team (MDT) meetings, preparing agendas, taking minutes and distributing actions.
  • Maintain accurate electronic patient records and ensure documentation is filed promptly.
  • Liaise professionally with GPs, CAMHS teams, families, commissioners and external healthcare professionals.
  • Process referrals and support patient admissions and discharge administration.
  • Answer telephone and email enquiries in a professional and confidential manner.
  • Ensure all correspondence is completed within agreed timescales.
  • Monitor Consultant inboxes and action communications appropriately.
  • Support compliance with GDPR, information governance and confidentiality standards.
  • Order office supplies and assist with general departmental administration as required.

  • Previous experience working as a Medical Secretary or in a healthcare administrative role.
  • Excellent typing skills and Minute taking
  • Strong organisational and time management abilities.
  • High level of accuracy and attention to detail.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office (Word, Outlook, Excel and Teams).
