We are looking for an organised and proactive

Administrator to join our Environmental team at HMS.

You’ll play a key role in supporting the delivery of environmental services across the North West region, providing administrative support to management and operational teams responsible for cleaning, grounds maintenance and environmental works.

You’ll help ensure services are delivered efficiently, compliantly and in line with contractual requirements while maintaining excellent customer service and operational standards.

This is a full-time office based role, based at our Stonebridge office.

Travel to other offices may be required, in line with business needs.

What You'll Be Doing

  • Provide day-to-day administrative support to Environmental Services management and operational teams.
  • Coordinate cleaning and grounds maintenance programmes, including routine, reactive and seasonal works.
  • Support the scheduling and allocation of works to ensure effective use of resources.
  • Manage reactive works requests in line with business processes and contractual requirements.
  • Maintain accurate service records and compliance documentation.
  • Monitor and maintain risk assessments, COSHH documentation and service records.
  • Track equipment, materials and stock levels using management systems and operative records.
  • Maintain environmental and waste management records.
  • Log incidents and support investigations when required.
  • Produce operational and performance reports in line with KPI and commercial reporting requirements.
  • Liaise with internal teams, customers, clients and suppliers to support effective service delivery.
  • Raise purchase orders and process invoices for materials and subcontracted works.
  • Ensure all documentation and records are maintained accurately and in line with company procedures.
  • Support compliance with Health & Safety requirements, company policies and relevant legislation.

What We're Looking For

  • GCSEs (or equivalent) in English and Maths.
  • Experience providing administrative support within a commercial contracting, facilities management or similar environment.
  • Strong IT skills, including Microsoft Office applications.
  • Excellent organisational skills with the ability to manage competing priorities.
  • Strong written and verbal communication skills.
  • Ability to work independently and take ownership of your workload.
  • Flexible approach with the ability to adapt to changing priorities.
  • Understanding of financial processes and commercial awareness.
  • NVQ in Business Administration or equivalent (desirable).
  • Experience within Facilities Management, Grounds Maintenance, Cleaning or Environmental Services (desirable).
  • Experience using contractor management systems such as QL, Total Mobile, Easytreev or Versa (desirable).
  • Full UK or EU driving licence (desirable).
