Role Summary
We are seeking an experienced and detail-oriented Head of Payroll to join our team, in
London. The ideal candidate will have extensive knowledge of global payroll processes, tax
regulations, and compliance requirements. This role involves managing the relationships with
multiple external payroll providers, managing the end-to-end payroll process for our
employees, ensuring accuracy, timeliness, and compliance with all relevant laws and company policies.
Key Responsibilities:
- Oversee and manage the end-to-end payroll operations across all regions and the UK
- Ensure accurate and timely payroll processing, including salary calculations, deductions, and statutory contributions with final approval of all payrolls, in every country, every pay period.
- Establish and maintain payroll controls and payroll-related procedures to ensure payroll accuracy, data integrity, compliance with local legislation, statutory reporting and internal policies.
- Manage the performance of external payroll providers and PEOs to ensure they are adhering to SLAs
- Full ownership and set-up of payroll for new country openings – explore and understand local requirements, identify partners and payroll providers and negotiate contractual terms
- Own and manage relationships with other external stakeholders such as Pension providers, and Payroll Tax authorities
- Build and maintain positive working relationships with internal stakeholders such as Finance, People Team and Legal
- Lead and develop a high-performing payroll team, providing support, training, and leadership.
- Drive efficiencies through process improvements, automation, and systems development.
- Ensure compliance with statutory reporting and filings in the UK (e.g. HMRC RTI,
P60s, P11Ds, tax year-end).
- Oversee payroll-related audits and respond to internal and external audit requirements.
- Submit Payroll accounting journals and adjustments and collaborate with Finance on
payroll-related accounting, reconciliations, and cost reporting.
- Support the implementation and optimisation of Workday.
- Maintain, update and help create relevant payroll policies, procedures, and forms when required..
- Stay updated with global payroll regulations, tax laws, and compliance requirements for each jurisdiction.
Person Specification:
The successful candidate for the role should be able to display the majority of the following:
- CIPP qualified or equivalent
- Extensive experience in processing UK payroll and specific knowledge of related legislation and statutory requirements, including PAYE
- Significant experience of managing multiple overseas payrolls through 3rd party suppliers
- US payroll knowledge essential
- Strong people management skills with a proven track record in driving a positive team culture and high-performing teams
- Experience of Workday is essential
- Intermediate to expert user of Excel with strong attention to detail and a high level of data manipulation and reporting capability
Experience in implementing and delivering pension schemes and benefits such as private medical, vision care, life assurance, cycle to work, and enhanced sickness and parental entitlement
- Comprehensive knowledge of payroll and benefit best practices and external
regulatory requirements
- Technical and analytical skills for application with payroll and payroll and benefits reporting
- Understanding of financial processing, controls and compliance
- Excellent communication skills with the ability to build strong relationships internally and externally
- Able to work collaboratively with global teams and employees to finalise Institute payrolls in a timely, accurate, and professional manner
