The Business Management Support Associate plays a key role in ensuring the smooth running of the AI & Innovation division by providing high‑quality administrative, operational, and coordination support. Reporting to the Business Management & Support Lead, the role helps to streamline processes, track key priorities, and enhance productivity across the division. The postholder will support divisional leadership by maintaining schedules, managing workflows, supporting reporting cycles, and ensuring communication and documentation standards are consistently met. This role is ideal for someone who is highly organised, proactive, and eager to contribute to an ambitious, fast‑paced team environment.
Key Responsibilities- Provide day‑to‑day administrative and coordination support to the AI & Innovation leadership team.
- Manage and maintain calendars, meetings, and workflows for divisional priorities, ensuring alignment across teams.
- Support document and presentation preparation, including leadership reports, dashboards, and project summaries.
- Assist in budget tracking, procurement, and expense coordination, ensuring compliance with internal processes.
- Maintain and update shared systems, files, and trackers to ensure operational accuracy and visibility.
- Support the business planning and reporting cycle, preparing inputs, timelines, and follow‑up actions.
- Coordinate meeting logistics, materials, and action tracking for divisional leadership and team meetings.
- Help ensure that governance processes such as decision logs, risk registers, and resource trackers are current and accurate.
- Liaise with cross‑functional teams to gather inputs and prepare summaries for leadership briefings.
- Act as a central point of contact for the Business Management & Support function, ensuring timely and accurate communication flows.
- Draft and format internal communications, updates, and briefing notes on behalf of the division.
- Maintain project and operational documentation, ensuring accessibility and version control.
- Support the production and dissemination of dashboards and reports for internal and external stakeholders.
- Identify and implement small process improvements that enhance efficiency and coordination across teams.
- Support onboarding activities and induction materials for new team members.
- Assist with team culture and engagement activities, including all‑hands meetings, away days, and recognition initiatives.
- Collaborate with the Business Management & Support Lead on special projects to improve productivity and support leadership effectiveness.
- 2–4 years’ experience in administration, business operations, or team coordination, ideally within a matrixed or fast‑paced environment.
- Excellent organisational and prioritisation skills, with strong attention to detail.
- Strong written and verbal communication skills, with the ability to produce clear, concise materials.
- Proficiency with Microsoft or Google Suite tools (Docs, Sheets, Slides, Excel, PowerPoint) and familiarity with collaboration tools (Asana, Smartsheet, or similar).
- Proven ability to manage multiple tasks, stakeholders, and deadlines simultaneously.
- Professional and discreet approach, maintaining confidentiality and credibility when supporting senior leaders.
- A proactive, solution‑oriented mindset and willingness to take initiative.
- Experience supporting senior leadership or executive offices.
- Familiarity with budget tracking, procurement, or financial coordination processes.
- Exposure to technology, consulting, or innovation‑driven environments.
- Basic analytical or reporting experience using spreadsheets or dashboards.
- Interest in operational excellence, continuous improvement, or project management.
