About The Role
We’re looking for a detail-oriented Program Operations Manager to help deliver a smooth, impactful experience across our global learner community.
You’ll be the engine behind the day-to-day operations of our programs, managing the smooth delivery of our learning model, coordinating challenges, live sessions and bringing the University learning calendar to life.
Daily operations is just one aspect of the job. You’ll spot opportunities to streamline, automate and improve. You’ll bring an eye for efficiency, love solving complex problems and creating engaging experiences, and thrive in a fast-paced, high-trust environment where proactive ownership is key.
Working closely with our Product, Tech, Academics, and Community teams, you’ll make sure every part of the learner journey, from onboarding to graduation, is seamless, scalable and inspiring.
This is a role for someone who thrives on detail, loves building better systems, and is motivated by seeing their work have a real, positive impact.
Your Main Tasks Will Include
Overseeing day-to-day learner operations that enable a smooth experience for learners:

  • Coordinate staff and optimize the university schedule for our different programmes on a half-yearly basis.
  • Own and maintain learner-facing materials such as the Student Handbook, FAQs and other resources, in line with Academic policies.
  • Prepare challenges using our tech stack, before they go live
  • Create challenge cohorts so that they are available for learners to sign up in advance
  • Conceptualize, plan and efficiently communicate program-related changes (ie grace period communication)
  • Answer any HubSpot questions related to program delivery
Collaborate cross-functionally with internal teams, including Platform, Academics and University Operations, to ensure flow in the learner experience.
  • Collaborate with learning designers on weekly challenge prep
  • Conceptualize and build automations to make the challenge prep/delivery process more efficient
  • Collaborate with the Platform Team to solve program delivery-related issues
Collaborate with the Community Manager to create engaging online and in-person moments, as well as other support needed as we grow and expand.
  • Coordinate the overall onboarding (Immersion) experience for new learners, including pre-start communications, setting up learners on Slack and scheduling live kick-off sessions
  • Identify eligible graduates, track their progress and manage their graduation experience as a key moment in their learning journey
  • Provide logistics support for University-led in-person immersions, such as venue hire, catering and programming
What We Are Looking For
  • Strong operational experience - ideally 4+ years in programme operations, ideally in an education or startup/scale-up environment
  • Exceptional attention to detail and organisational skills - you’re comfortable managing multiple timelines and priorities without dropping the ball
  • Process-oriented mindset - you love finding ways to streamline and improve systems, and you’re confident designing or implementing automations (e.g. HubSpot, Notion).
  • Experience with digital tools and platforms - such as Slack, Zoom, Google Workspace, and learning management systems
  • A confident communicator - able to clearly and proactively explain complex information across diverse teams and learner groups
  • Collaborative, proactive and adaptable - with a problem-solving mindset and ability to work independently in a remote-first, fast-paced environment, without compromising on quality
  • Fluency in English is required - German is a plus
