Tokio Marine Kiln (TMK) are recruiting for a permanent Executive Assistant to support our Chief Underwriting Officer (CUO). This is a pivotal role where you’ll act as a trusted partner, ensuring the smooth running of day-to-day operations and enabling senior leaders to perform at their best. Working at the heart of the business, you will manage competing priorities, coordinate key activities, act as a central point of contact for both internal and external stakeholders, and manage two members of the EA/PA team to ensure effective team coordination.

Key Responsibilities include:

  • Provide high-level executive support to the CUO and associated teams
  • Act as the primary point of contact for senior stakeholders
  • Manage complex diaries, inboxes, and meeting schedules
  • Coordinate travel arrangements and produce detailed itineraries
  • Prepare presentations, documentation, and board materials
  • Ensure deadlines are met for board papers and key deliverables
  • Arrange meetings, collate materials, and take minutes where required
  • Handle expenses, correspondence, and general administrative tasks
  • Maintain accurate records, including absences and filing systems
  • Provide cover for other Executive/Personal Assistants when needed

About You

Essential

  • You’ll be a confident and discreet professional who thrives in a fast-paced environment and enjoys working at a senior level.
  • Strong experience in an Executive Assistant or senior PA role
  • Advanced MS Office skills (Word, Excel, PowerPoint, Outlook)
  • Proven experience managing multiple complex diaries
  • Exceptional organisational and time management skills
  • Excellent written and verbal communication
  • High level of confidentiality and professionalism

Desirable

  • Experience supporting Board-level executives
  • Background in insurance or financial services
  • Line management experience
  • Minute-taking experience
  • Fast and accurate typing skills (65+ wpm)
