Location: Aldgate, City of London

Position Type: Permanent full time or Part time 4 days per week

Hybrid: 3 days in the office

Job purpose: This role will report into the Managing Director of HCC Specialty but will be supporting a team of 30 based in London, Paris, Barcelona, Dusseldorf and Brussels. This role is highly varied with no two days being the same. The role requires you to work both autonomously and with an approachable and friendly wider team.

Key Responsibilities:

  • Administrative & Secretarial Support
  • Manage the diaries of 3 Senior Underwriters and the Managing Director HCC Specialty
  • Place reservations and coordinate business trips including booking all travel via our centralised travel team.
  • Scheduling meetings, set up rooms and arranging catering when requested.
  • Agenda preparation, minute taking and tracking action points for key meetings.
  • Access to mailboxes to filter information and manage email traffic for key team members.
  • Process and reconcile expense reports.
  • Format and proofread documents, reports, and presentations.
  • Managing the setup of new staff.
  • Business Development & Project Support
    • Support marketing initiatives including help with social media (LinkedIn)
    • Event coordination
    • Provide ad-hoc support for projects and business growth.
    • Communicating with clients, brokers, partners, and internal teams.

    Performance Objectives:

    • The main objective or asset in this role is to be able to multitask and prioritise your workload autonomously, with clear communication between internal and external stakeholders.
    • Working for senior executives it is imperative that you have meticulous attention to detail, with the confidence to raise any questions in a professional manner if required.
    • You must be flexible to adapt to the various tasks presented at short notice, always exercising discretion and confidentiality with sensitive information, while ensuring that your BAU responsibilities are met.

    Skills and Experience Specification:

    Essential:

    • A minimum of 2 years of experience in a similar position
    • Outstanding communications skills both verbal and written
    • Proficient presentation skills (PowerPoint, Excel, Word etc.)
    • Able to prioritise tasks and projects
    • Detail oriented and intuitive
    • Excellent customer service skills
    • Works well under pressure
    • Takes ownership of problems and tasks
    • Independent and self-confident

    Desirable:

    • Experience of working for senior leaders within a Financial Services organisation.
