At ‘Together Paddington Works’, we believe that where you work matters just as much as how you work. We operate two premium coworking spaces, Paddington Works and Porchester Works, offering beautifully designed studios, meeting rooms, and event spaces in the heart of West London. Our spaces are built around well-being, performance, and sustainability, with every detail carefully designed to support the physical, emotional, and cognitive health of our community. Alongside our commercial sites, we also manage 10 residential properties, including 4 premium apartments — all of which fall within the scope of this role.

With a flair for multitasking and organising both people and processes, you thrive in an environment that often requires you to spin a lot of plates, as well as remember the small details. You take the initiative, aren’t afraid to get stuck in, and see things through to completion, whilst displaying confidence, warmth and time for everyone!

Responsibilities:

  • Be the first point of contact on our reception ensuring all occupiers and guests are made to feel welcome and well looked after.
  • Learn and utilise the 'Nexudus' platform to manage member services including meeting room booking.
  • Manage the accurate and secure signing in and signing out of keys for studios and residential properties.
  • Manage all mail, parcels and couriers.
  • Provide a telephone reception service for the building.
  • Maintain stock levels of building consumables.
  • Manage the electronic filing system.
  • Provide daily handover to the Security personnel.
  • Provide a frontline help desk service for all occupier questions and issues.
  • Support the management of the pre-planned maintenance schedule.
  • Assist the Operations Executive in the co-ordination of 3rd party contractors.
  • Support the sourcing of products and equipment for the buildings and liaise with suppliers to arrange delivery of goods.
  • Brief cleaning staff on daily and ad hoc requirements (e.g. meeting rooms) and track additional hours.
  • Perform daily inspections of the building to verify that all spaces meet presentation standards and adhere to all Health & Safety regulations.
  • Manage meeting room set up and close down.
  • Create a culture to energise and empower people to create their best work.
  • Assist with community events such as members breakfasts and socials.
  • Assist in managing the booking calendar for events and meeting rooms.
  • Support prospective client viewings (walk ins and booked).
  • Run member and guest induction process.
  • Co-ordinate ancillary income bookings e.g. filming.
  • Carry out additional duties to support the smooth running of the business as required.

Key requirements:

  • A proven track record for fantastic customer service.
  • Exceptional organisational skills.
  • A team player who’s eager to get stuck in.
  • Fully competent in Microsoft Office.
  • Strong written and verbal English.
  • Minimum GCSE/A Levels (or equivalent) – including English and Maths.
  • Legal right to work in the UK.

Advantageous skills:

  • Previous experience in co-working/hospitality/operations in a front of house role.
  • Previous experience of residential and/or commercial.
