The Wholesale Assistant is a critical operational role within the Wholesale department, acting as the front end of the function and underpinning its day‑to‑day effectiveness. With a strong understanding of the brand and wholesale ways of working, this role is responsible for the accurate management of wholesale systems, departmental data, reporting, and seasonal processes.

Key Responsibilities

  • Wholesale Systems Management – Own and manage wholesale system activity across platforms including WFX, Miro, JOOR, and NetSuite; set up and maintain seasonal data, sample orders, and updates; communicate system updates; track orders; manage samples and shipments; support pop‑ups and events.
  • Seasonal Imagery Management – Coordinate and organise seasonal imagery for platform set‑up and wholesale use; manage external flat‑shot shoots; maintain Dropbox organisation.
  • Swatch Coordination – Partner with product teams to collect, manage, and maintain physical and digital swatches; ensure accurate naming and matching; prepare swatch packs.
  • Wholesale Calendar & Process Management – Own and manage the seasonal wholesale diary; update timelines, flag risks, and support departmental priorities.
  • Wholesale Merchandising & Reporting – Set up, run, and distribute wholesale reporting (sales trackers, shipping trackers, best sellers, sales mix, range plan); update client list; support merchandising by tracking performance, margin, and P&L; investigate data anomalies; support campaigns and showroom presentation.
  • General Wholesale Support – Provide day‑to‑day operational and administrative support; support departmental projects and continuous improvement.

Required experience/skills

  • Highly competent Excel user with precise accuracy.
  • Extremely effective in building relationships with key stakeholders.
  • Capable of working through challenging situations with flexibility.
  • Highly organised and able to drive and implement process.
  • Creative problem‑solving skills.
  • Experience in system management and processes (WFX, Miro, JOOR, Netsuite).
