Overall purpose

In this role, you’ll oversee and take charge of all aspects of the project lifecycle of managing ground transportation for high-profile events. As you will be managing the full cycle, it’s essential that you are exceptionally organised with outstanding administration skills.

Building relationships with all key personnel, you’ll work to understand business requirements, demands, and challenges of each project; you’ll then construct project and resource plans, leading the implementation to ensure excellent service delivery.

Main responsibilities

  1. Event management of all areas of ground transportation as required
  2. Creating process documents and ensuring the processes are followed through
  3. Day-to-day operational management of projects and staff allocated, so as to assure revenue and profitability targets are met
  4. Understanding the brief and budget makeup on projects, understanding the scope of works and conditions of contract, and ensuring delivery within these parameters in line with client expectations
  5. Assuring the timely and accurate delivery of projects, including the production of factual reports
  6. Communicate effectively internally with regular updates to management
  7. Process job updates
  8. Handle client and supplier queries
  9. Job quotations
  10. Follow up on missing information to fully complete each booking
  11. Handle any special requests for clients
  12. Assign appropriate suppliers to reservations and source new suppliers when necessary
  13. Record feedback in the system as required
  14. The identification of new business opportunities, services, and products in conjunction with the Sales Director
  15. Day-to-day planning of operations and problem-solving
  16. Answering correspondence relating to the project
  17. Ensure any special instructions, requests, or quotes are added to relevant jobs
  18. Ensure all costs and quotes are captured on working documents
  19. Inform Sales team of accounts progress and arising issues
  20. Establish and maintain effective working relationships with co-workers, clients, and suppliers
  21. Manage supplier relations
  22. Negotiation of buy-in rates for large events
  23. Detailed project plan for all Events detailing responsibilities, timeframes, etc.

Skills required

  1. Suitable service delivery experience
  2. Strong understanding of the need for Quality within the project environment
  3. Experience in leading a project team
  4. Awareness of internal and external standards of procedures
  5. Knowledge of budget monitoring & commercial awareness
  6. Good attention to detail
  7. Must be process-driven
  8. Demonstrable track record of delivering events on time and to budget
  9. Acute analytical, planning, and organisational skills
  10. Be capable of managing and leading all deliverables for multiple events
  11. Excellent communication and presentation skills with an ability to build strong relationships
  12. Fluency in a second language, speaking, reading, writing (desirable)

Experience & Qualifications

  1. Minimum 3 years working in a similar role
  2. Transport industry experience
  3. Vast onsite events experience
  4. Events management degree or equivalent (desirable)
  5. Proven track record in delivering project management for small and large scale events

  1. Pursue personal development of skills and knowledge necessary for the effective performance of the role, attend training when required
  2. Maintain regular and professional attendance, punctuality, personal appearance
  3. Any other duties as required by management
