The role of the Procurement Assistant is to support the Procurement Manager with the creation of subcontractor orders, liaising with subcontractors, clients, and site teams, as well as assisting with general filing and system administration.

Role Responsibilities:

  1. Liaising with clients, subcontractors, suppliers, and stakeholders on proposed works and during the pre-construction phase.
  2. Collaborating with the Procurement Manager regarding project requirements.
  3. Updating procurement schedules in line with the programme.
  4. Participating in daily review meetings via Office & Teams with the project team.
  5. Coordinating with H&S, Design, Technical, and Estimating teams to ensure scope of works and deliverables are fulfilled.
  6. Collating tender packages, scope of works, etc.
  7. Filing all quotation tender returns.
  8. Making proposals, collating comparisons, and submitting to the team.
  9. Arranging and leading pre-construction meetings, and collating meeting minutes.
  10. Creating subcontractor orders.
  11. Reviewing all contract documents with the commercial and project teams before sending out contracts (written approval).
  12. Tracking signed subcontractor contracts.
  13. Monitoring and increasing subcontractor and project team engagement during the pre-construction phase.
  14. Attending site during estimating and pre-construction phases.
  15. Providing quotations for additional works outside the initial scope.
  16. Ensuring all contracts stay within budget.
  17. Providing project-specific cost analysis against budgets to Estimating, Commercial, and Procurement teams.
  18. Logging and managing enquiries.
  19. Communicating with site staff and subcontractors to ensure attendance on site as scheduled.

Skills & Qualifications:

  1. Proficient in MS Excel, Word, and Outlook.
  2. Strong attention to detail and analytical skills.
  3. Excellent English language skills for communication via telephone, email, and in person.
  4. Ability to drive to sites if required, with the Procurement Manager.
  5. Previous experience with subcontractors and the construction industry is advantageous.
