Responsibilities
- Production Operations & Logistics
- Coordinate travel, accommodation and transport bookings for cast, crew and clients.
- Manage production schedules, calendars and key project milestones.
- Support location research, sourcing and booking.
- Assist with merch/prop/printables sourcing including liaising with printers and reviewing proofs.
- Coordinate courier bookings, deliveries and production shipments.
- Ensure all project documentation is organised, updated and accessible.
- Pre-Production Support
- Assist producers with production planning and project setup.
- Create and maintain call sheets, contact lists and production schedules.
- Collect supplier NDAs and quotes.
- Coordinate talent, crew and client logistics (e.g., scheduling, travel times).
- Support permit, insurance and risk assessment administration where required.
- Production & Shoot Support
- Act as a key point of coordination between production, suppliers and crew.
- Ensure all production paperwork is completed and distributed.
- Support producers during shoots with scheduling, logistics and troubleshooting.
- Post-Production & Finance Administration
- Track deliverables and key post-production deadlines.
- Manage supplier paperwork, invoices and purchase orders.
- Collect and organise crew timesheets and supplier cost reports.
- Real-time tracking of production expenses.
- Support budget reconciliation and project close-down processes.
- Maintain accurate production records and filing systems.
- Team & Studio Operations
- Support the wider production department with resource planning and scheduling.
- Help maintain supplier databases and production contacts.
- Assist with general production department administration.
Skills & Attributes
- 1–3 years’ experience within a production, agency or creative environment.
- Exceptional organisational and time-management skills.
- Strong attention to detail.
- Experience managing multiple projects simultaneously.
- Confidence working with suppliers, freelancers and external partners.
- Excellent communication skills.
- Proactive and solutions-oriented mindset.
- Strong working knowledge of Google Workspace.
