Responsibilities
- Anticipate needs and provide high‑level, tailored administrative support to senior executive/s and provide comprehensive EA cover in the absence of the EA to Creative Director of International.
- Complex diary management: Arrange video conference calls, internal and external meetings across multiple timezones, with the flexibility to accommodate changes at short notice.
- Coordinate complex international and UK travel itineraries – including flights, accommodation, visa documentation and related expense management.
- Maintain internal systems and processes to improve the team’s workflow and ensure timely responses.
- Help plan and execute internal and external events from team sessions to larger‑scale content or partner events.
- Meet and greet high‑profile guests and act as the point person, ensuring they receive the apple experience.
- Maintain strong relations with the US team, anticipating time‑zone delays and “seeing round corners.”
- Initiate purchase orders and complete expense reports in accordance with policy.
- Collaborate daily with executives, internal and external stakeholders and other Executive Assistants across the company, both locally and internationally.
Minimum Qualifications
- Proven experience supporting multiple C‑suite executives, ideally 4‑5 years in an executive support role within the Media, Entertainment or Creative industries.
- Outstanding calendar management skills with a keen eye for detail.
- Used to working in fast‑paced environments with tight deadlines and last‑minute changes.
- Comfortable working with ambiguity.
- Ability to create professional Keynote presentations and adapt existing ones.
- Experience identifying and implementing processes and procedures to improve work efficiency and productivity.
- Capacity to identify tasks to alleviate workload without being prompted.
- Ability to act as a gatekeeper while retaining goodwill.
- Confidentiality, discretion, trust and judgment.
- Exceptional interpersonal, verbal and written communication skills.
Preferred Qualifications
- A “can do” flexible attitude.
- Television background desired.
- Proficiency with Mac, iPhone and Apple productivity tools (Keynote, Numbers, Pages, Mail, Calendar); experience with Wrike, Box, Slack and other collaboration tools is highly desirable.
- Fluent English is required. Additional languages are beneficial.
