Purpose of the position
We are seeking an organised, proactive and commercially minded Business Relations Assistant to support our Business Relations Team and wider Departments.
The successful candidate will assist with market research, lead generation, database management, marketing campaigns, prospect follow up and performance reporting.
They will play an important role in ensuring new business opportunities are identified, accurately recorded and progressed efficiently through the business development pipeline.
Key Responsibilities
- Business Development Support
- Provide administrative and research support to the Business Relations Team, assisting with the identification, research and progression of new business opportunities.
- Research prospective landlords, investors, developers, corporate organisations and professional introducers, preparing information to support business development activity.
- Assist in developing relationships with corporate relocation agents, HR departments and other strategic partners by coordinating introductions, maintaining contact records and supporting follow up activity.
- Attend networking events, community events and client meetings where appropriate, providing administrative and organisational support before and after each event.
- Carry out market research and competitor analysis to identify trends, opportunities and areas for future growth.
- Make outbound telephone calls to prospective landlords, corporate organisations and professional contacts to introduce tlc's services, gather information, qualify opportunities and arrange appointments for the Business Relations Team.
- Lead Generation and CRM Management
- Assist with lead generation through property research, CRM analysis, AI tools and approved business development platforms including Reapit, Spectre, Lon Res, Rightmove Plus and other research tools.
- Maintain accurate prospect records, ensuring all communications, follow up actions, reminders and outcomes are recorded within Reapit and other business development trackers.
- Prepare prospect lists and support targeted marketing campaigns, ensuring opportunities are progressed and handed to the Business Relations Team at the appropriate stage.
- Work closely with the Sales, Lettings and Marketing teams to ensure enquiries and opportunities are managed efficiently and no potential business is overlooked.
- Relationship Management
- Support the Business Relations Team by maintaining professional communication with prospective and existing clients, ensuring timely follow up and accurate record keeping.
- Prepare correspondence, presentations and supporting documentation for meetings, valuations and business development initiatives.
- Ensure client and prospect databases remain accurate, organised and regularly updated to support ongoing relationship management across the business.
- Reporting and Business Support
- Produce regular reports on lead generation activity, pipeline performance, marketing campaigns and business development initiatives.
- Support the preparation of presentations, statistics and reports for management meetings and quarterly reviews.
- Identify opportunities to improve administrative processes, data quality and CRM accuracy, helping to ensure the Business Relations team operates efficiently.
- Coordinate diaries, meetings, follow up activities and project administration, ensuring actions are completed and opportunities continue to progress.
Skills & Experience
- Previous experience in an administrative, business development, sales support, customer service or research role is desirable
- Excellent written and verbal communication skills, with the confidence to communicate professionally by email, telephone and video call.
- Confident and professional telephone manner, with the ability to contact new business leads, build rapport and communicate effectively with prospective clients.
- Strong organisational skills with the ability to manage multiple tasks, prioritise workload and meet deadlines.
- High level of accuracy and attention to detail, particularly when maintaining databases, reports and CRM records.
- Confident using Microsoft Office applications, particularly Excel, Word and Outlook, together with the ability to learn new software and systems quickly.
- Experience using CRM systems, marketing platforms or lead generation tools would be advantageous but is not essential.
- Comfortable using AI tools to improve research, organisation and productivity, or willing to learn and embrace new technologies.
- Strong research and analytical skills, with the ability to identify opportunities, gather information and present findings clearly.
- Self-motivated, proactive and able to work independently while remaining engaged with a remote team.
- A willingness to learn about the UK property industry, tlc's services and the Kensington and Chelsea market.
