Block Management & Building Response Assistant
Block Management & Building Response Assistant
Location: Chelsea, London
Hours: Full Time, Office Based, Monday to Friday
Salary: Dependent on experience
About the Role: We are looking for an enthusiastic, organised and switched on individual to join our Block Management team in a newly created role. Working alongside our experienced Block Managers, you will provide practical and operational support across our portfolio of residential buildings in Kensington and Chelsea. You will work across the department, stepping in to assist different Block Managers with individual buildings, projects and issues as required.
A particular focus of the role will be supporting the management of active leaks, building incidents and insurance claims, which can require significant coordination and follow‑up. However, this is a varied position and you will also provide wider Block Management support wherever additional resources are needed.
The role would be particularly well suited to someone who already has some experience within the property industry and is looking for an opportunity to broaden their knowledge and responsibilities within Block Management.
The Role: You will work closely with our Block Managers to help progress matters across the portfolio. This could involve assisting with a particularly busy building, coordinating maintenance issues, liaising with contractors and residents, attending properties to meet contractors or surveyors, arranging access, gathering information and photographs or following up outstanding actions.
You will be expected to take ownership of the tasks delegated to you and see them through to completion, keeping the relevant Block Manager informed along the way. The Block Manager will retain overall responsibility for their building and any significant decisions, but you will provide valuable additional capacity to ensure matters continue to move forward.
A key part of the position will be supporting active leaks, escape of water incidents and insurance claims across the portfolio. You will help establish what has happened, coordinate contractors and access, obtain photographs, reports, quotations and invoices and liaise with residents, insurance brokers, insurers and loss adjusters as appropriate.
Clear and proactive communication will be essential. You will help keep residents and clients informed throughout ongoing matters and ensure expectations are managed from an early stage. As your knowledge of the portfolio develops, you will become familiar with individual buildings, their insurance arrangements and excesses, previous claims and particular client requirements, helping the team anticipate issues and avoid unnecessary disputes or escalations.
Practical Building & Departmental Support: This is not a purely administrative role. You will regularly visit buildings across Kensington and Chelsea to meet contractors and surveyors, provide access, take photographs, check the progress of works and report back to the relevant Block Manager.
This is a fully office‑based role, five days a week. The nature of the position requires you to work closely with the wider Block Management team and to be available to attend to our buildings across Kensington and Chelsea when required.
You will also act as a flexible resource across the wider department. Although you will not have a portfolio of your own, Block Managers will be able to ask you to assist with appropriate aspects of their buildings when additional support is required. As your experience and knowledge develop, you will be encouraged to take greater ownership of straightforward matters while recognising when something requires the involvement or decision of the Block Manager.
You will gradually build a strong understanding of the wider tlc portfolio, including building layouts, access arrangements, preferred contractors, insurance arrangements, previous claims and individual client requirements. You will also help maintain accurate records of claims and building incidents so that previous decisions, recurring issues and important building specific information can be easily identified.
Who We Are Looking For: We are looking for someone who already has some experience within property and is ready to take the next step in their career. Experience within block management would be particularly useful, although experience within property insurance, construction, estate agency, lettings, property management, facilities management or another relevant property environment would also be considered.
You will be enthusiastic, switched on and naturally proactive, with the confidence to pick up the telephone, chase outstanding actions and solve straightforward problems without needing to be continually prompted. You will be highly organised, have excellent attention to detail and be comfortable managing several different priorities at the same time.
Strong communication and customer service skills are essential. You will regularly deal with clients, leaseholders, residents, contractors and other professionals, often in challenging circumstances. You will therefore need a good degree of emotional intelligence, with the ability to read a situation and adapt your approach accordingly.
Above all, we are looking for someone who takes ownership and follows things through. You do not need to be ready to manage your own portfolio, but you should be keen to learn, willing to take responsibility and interested in developing your knowledge of residential Block Management.
What Success Looks Like: Success in this role will mean becoming a trusted and valuable resource across the Block Management department, whilst delivering a high standard of service to clients and residents as you help them through some of the more challenging situations that can arise within their buildings.
Block Managers will be able to delegate appropriate tasks knowing they will be progressed properly and followed through. Leaks and insurance claims will be well coordinated, contractors will be chased, residents and clients will receive regular updates and practical building matters will be dealt with promptly.
Most importantly, the role will create additional capacity across the department, allowing our Block Managers to focus more of their time on the management of their portfolios, their client relationships and the more complex aspects of their roles. The role will also support the department in maintaining accurate records and following the appropriate processes for major works and insurance claims, helping to ensure our regulatory and compliance responsibilities are met.
For the right person, there will be plenty of opportunity to develop their knowledge and responsibilities as they gain experience within the team.
