IMG Studios are hiring a Production Coordinator to work with the Production Manager and wider team to provide coordination support across multiple projects for a global client.

Key Responsibilities And Accountabilities

  • To provide key production assistance and coordination support in conjunction with the editorial and production management team, including working in a Live environment for fast turn-around post-production TV commercials.
  • Negotiate, book and schedule freelancers (e.g., editors, voiceover artists) as well as post-production facilities.
  • Book travel, accommodation, equipment, and crew. Experience organising visas, carnets, permits, outside broadcasts and international shoots is advantageous, but not essential.
  • Clear archive/music (as directed by the PM).
  • Support the team with new pitches, budgeting, contracting, and general administrative duties.
  • Ensure risk assessments are properly created by the relevant producer, and that health and safety is fully considered for all shoots and post-production work.
  • Create call sheets and be point of contact for crew out of office hours (if required).
  • Complete post-production deliverable paperwork.
  • Raise POs, work orders, and reconcile credit card and float spend.
  • Assist in budget compilation when required, input committed costs into Cost Report and assist with reconciliation in conjunction with the Finance Assistant.
  • Trouble shoot and deal with ad hoc production queries/duties within the department in conjunction with the Production Manager.
  • Be point of contact for internal and external clients.
  • Ensure smooth running of shoots in studio or on location under supervision of PM.
  • Liaise with and respond to clients as instructed.
  • Basic media management, including the upload of broadcast & digital deliverables to the media management system.
  • You may also be required to carry out any other duties which are within the scope and purpose of the job.

Knowledge And Experience

  • Excellent production coordination and support across general productions.
  • Effective production support for production management team.
  • Understanding of Post Production processes (including QC).
  • Ability to work independently on projects, with minimal supervision.
  • Ability to communicate effectively with clients, producers, and other members of the team, including via the issuing of comprehensive and accurate Call Sheets.
  • Ensuring all necessary paperwork, filming permits, release forms, and risk assessments are in place for production.
  • Ensuring all production deliverables are completed and post-production paperwork is finalised in a timely manner.

Skills And Abilities

  • Excellent attention to detail.
  • Previous experience of working to deadlines. Works well under pressure and manages and prioritises workload effectively.
  • Excellent time management skills, reliable and punctual.
  • Proficient in Microsoft Word and Excel.
  • Excellent communication skills (both written and verbal).
  • Excellent client liaison skills.
  • Ability to plan ahead and effectively organise workload.
  • Ability to multitask.
  • Good problem-solving skills.
  • Strong literacy and numeracy.
  • Willingness to learn new systems and processes.
  • Keenness to learn and take on more responsibility, this includes Health and Safety Production Training and Albert Sustainability Training (this will be provided if current training is not up to date).
  • A positive, professional, and proactive approach to working effectively as part of a team as well as independently (without close supervision) and shows initiative.

Working Conditions

  • Role is based at Chiswick Park (primarily), Stockley Park (during tournament pre-production & production), and WFH.
  • Some weekend and unsocial hours work required on occasion (days off in lieu will be arranged for weekend work), specifically: Working with clients in different time zones.
