Key Responsibilities and Accountabilities-

  • Tracking the development budget against costs.
  • Maintaining databases such as the planning calendar, business development calendar, The Well Teams channel and other key systems, acting as the main point of contact and data owner for Salesforce.
  • Scheduling and setting up creative ideas and production solution sessions for pitch responses where required.
  • Supporting pitch response owners with schedule creation and management, document gathering, arranging check-ins and inter-department meetings, and liaising with the design team to meet key milestones and deadlines.
  • Building strong company-wide relationships, tracking, monitoring and sharing relevant news and events from across the sports industry, and identifying key industry events to attend.
  • Supporting and contributing to Studios initiatives such as Green to Screen and Free to Be.
  • Coordinating invites, attendance and hospitality for client-hosting events such as Wimbledon, The Open, The Solheim Cup, the US Open and others.
  • Providing project management and coordination support on broader consultancy projects as required.
  • Contributing to the forward planning of industry events, awards submissions and conferences.
  • Providing key assistance and coordination support for video projects, including case studies, awards films, Team Talks materials and other content as required.
  • Coordinating and booking external support for RFP responses and sizzle reels as required.
  • Leading and managing the insight-gathering process for RFP responses, coordinating internal stakeholders and external research to collate client data, market intelligence and financial insights to maximise the competitiveness of submissions.
  • Providing administrative support, including drafting correspondence, agendas and meeting minutes, organising hospitality, and supporting projects and events delivered or hosted by the SVPs or Commercial Team.
  • Carrying out any other duties within the scope and purpose of the role.
  • Unusual Challenges or Circumstances
  • May require occasional late starts, late finishes, evening and weekend working where required, although the role is primarily weekday office-based.
  • Key Result Areas-
  • Excellent logistical coordination and support.
  • Ensuring all databases are regularly updated and maintained accurately.
  • Knowledge and Experience
  • Database and Excel management.
  • Calendar and schedule management.
  • Experience working with external partners, suppliers and clients.
  • Ideally, previous experience in a production environment.
  • Previous experience at Assistant or Coordinator level.
  • Knowledge of and interest in the sports industry, with a desire to learn about future production trends.
  • Ability to work effectively under pressure and manage competing priorities.
  • Strong written and verbal communication skills.
  • Ability to work to and meet deadlines.
  • Strong team player.
  • Proficient in Microsoft Word, Excel, Power Point and Teams.
  • Educated to A-Level standard or equivalent.

Skills and Abilities

  • A keen interest in sport.
  • First Aid and/or Health & Safety training.
  • Full clean driving licence.
  • Excellent time management skills; reliable and punctual.
  • Able to work effectively both independently and as part of a team, demonstrating initiative and self-motivation.
  • Positive, professional and enthusiastic approach to work.
  • Working Conditions
  • This role will be based at IMG offices in Stockley Park, Uxbridge.
  • This is a permanent position.
  • Some weekend travel and evening events may be required.
