This role is responsible for managing our online recruiting and onboarding module for all new hires across Europe, providing support via phone, email, live chat, or face-to-face interactions. You will learn the full recruitment and onboarding process in Workday to assist managers effectively. Strong attention to detail, accuracy, compliance, and a commitment to delivering exceptional service are essential.
As the first point of contact in HR for these processes, you will handle a high volume of queries and ensure a smooth onboarding experience for new associates joining.
Key Responsibilities- Manage phone lines (9am–5pm) and act as first point of contact for Workday hiring & onboarding queries.
- Provide guidance to managers via phone, live chat, and email, promoting self-sufficiency.
- Apply problem-solving skills to troubleshoot onboarding and system-related issues, ensuring timely resolution.
- Log frequent Workday issues and raise tickets for defects or enhancements.
- Support with User Acceptance Testing (UAT) for upgrades, new releases, and integrations.
- Initiate high volumes of onboarding processes, create employment contracts, and conduct follow-up calls.
- Manage requests for password resets and support new associates to access their accounts.
- Conduct hire eligibility checks, criminal conviction reviews, and request background screening.
- Review and manage integration failures, correcting errors and requesting ad hoc payroll file runs.
- Support the temp-to-perm conversion process for our processing centres, ensuring associates are transitioned within agreed SLAs.
- Provide support to associates and managers relating to our online assessment tool (SJT).
- Ensure onboarding completion to avoid payroll delays.
- Ensure all new associates are fully compliant to work to include Right to Work.
- Maintain regular communication with stores to ensure their associates have completed onboarding in a timely manner.
- Run daily/weekly reports to track onboarding progress and chase outstanding tasks.
- Analyse data trends and provide insights to improve processes.
- Support high-volume requisition cleanup to maintain system accuracy.
- Identify opportunities for process improvements and collaborate with your manager to implement changes.
- Maintain strong knowledge of Workday and onboarding processes.
- Support other HRSC areas during peak periods.
- Attend team huddles, training and upskilling sessions.
- Confident and credible as the face of HR to the business.
- Experience managing high volumes of cases within recruitment and/or onboarding.
- Strong problem-solving and analytical skills to resolve complex issues.
- Ability to raise and track system tickets for defects/enhancements.
- Customer-focused with excellent communication skills.
- Ability to work accurately under pressure while maintaining high service standards.
- Proficiency in reporting and data analysis (Excel or similar tools).
- Positive and proactive approach with attention to detail.
- HR professional education or qualification is ideal.
- Experience in a HR Service Centre environment is an advantage.
