Would you like to join the Team at the Titanic Hotel Belfast and continue to build and grow your career? We are currently looking for a Group Reservations Co-Ordinator to join us. At Titanic Hotel Belfast, we look for people who are friendly, welcoming and full of life, people who are always finding ways to make every guest's experience enjoyable.
The role is responsible for hotel reservations but with a keen focus on group reservations from point of quotation through to their arrival at the hotel. The Group Reservations Co-Ordinator will have a thorough understanding of revenue management strategies and processes to assist and support the Revenue Manager and Reservations team.
Main duties and responsibilities:
- Reservations: To ensure that reservations are dealt with in an efficient and pleasant manner.
- To be fully conversant with the facilities, services and special promotions offered by the hotel and to pass this information on to the guest whenever the possibility arises in order to maximise hotel sales.
- To provide a hospitable service to the standards laid down in the Standards Training Manual.
- To be fully conversant with the Property Management System, Revenue Management systems and all booking extranets.
- To communicate with reception at all times and assist where necessary.
- To check all correspondence in connection with reservations and deal with accordingly.
- To be fully aware of all types of bedrooms, all their facilities and locations.
- To be able to offer an alternative (i.e. date, type of room) if we cannot provide what our caller requires.
- To run all appropriate reports connected with rooms as laid down in the Reservations Manual and distributed to the General Manager and Reception Manager – as agreed with your manager.
- To work in accordance with the rooms strategy/top line actions.
- To ensure that the hotel credit policy is adhered to.
- To advise housekeeping of any special requirements requested, i.e. late booking, Z beds, cots and VIP's.
- To ensure that all standards and procedures comply with any Revenue/Finance Audits.
- To develop and maintain good working relationships with all departments in the hotel.
- Groups: To ensure group reservations are dealt with in an efficient and pleasant manner.
- To communicate and co-ordinate group enquiries, rate quotes with the Revenue Team as appropriate.
- To ensure all group business including group terms and conditions are contracted and adhered to within the parameters set by the Revenue and Sales Teams.
- To follow up all group leads and provisional enquiries to secure the business.
- To gather all group details and requirements.
- To work in accordance with group payment schedules.
- Communicate group details with all relevant departments of the hotel in a timely and efficient manner.
- Revenue: To understand revenue management and distribution strategy of the hotel and assist in day to day yield operations.
- To be involved in daily pick-up analysis, strategy adjustments and reporting.
- Perform competitive benchmark studies and be aware of market trends.
- To assist with effective yield management.
- Support development of new promotions to generate business at key times.
- To develop an understanding of forecasting revenue performance.
- To assist in assessing, analysing and pricing group business strategies.
- To support with the management of 3rd party distribution strategy.
- Ensure all related systems are configured correctly, validated and working to full capacity.
- Regularly check the input and the quality of data (Segmentation, business contacts etc).
- To understand the budgetary process and assist with its preparation.
General:
- To attend all relevant training as and when required.
- To show willingness to take on additional responsibilities when necessary.
- To be able to act with initiative, planning for the future and possible consequences. Being pro-active in getting things done and exceeding expectations of both guests and colleagues where possible.

- To have a thorough knowledge of and adherence to the law with regard to the following company regulations: Fire regulations and procedures, Health and safety regulations, First aid procedures.
- To undertake special duties or work outside the normal daily/weekly routine but within the overall scope of the position at the request of the Deputy General Manager/General Manager.
