Location: Birmingham – hybrid working with attendance in person at events as required.

Role Purpose

The Events Coordinator plays a central role in ensuring the smooth planning, delivery, and evaluation of the organisation’s events, training sessions, meetings, and external engagement activity. This requires a self-motivated, enthusiastic person with strong initiative, excellent interpersonal and organisational skills, and the ability to hold an overarching view of all moving parts.

Key Responsibilities

  • Oversee the end-to-end coordination of events, training sessions, workshops, and meetings.
  • Develop and maintain event project plans, timelines, and checklists to ensure all tasks are completed on schedule.
  • Hold the overarching view of each meeting and event, proactively identifying risks, gaps, and dependencies.
  • Coordinate venue bookings, catering, equipment, accessibility requirements, and travel arrangements.
  • Liaise with speakers, facilitators, suppliers, and partners to ensure smooth delivery.
  • Prepare materials, agendas, name badges, sign-in sheets as required.
  • Act as the initial point of contact for enquiries, providing timely and professional responses and manage communications before, during and after meetings and events.
  • Attend and support both online (as required) and in-person meetings and events, ensuring smooth set-up, delivery, and pack-down.
  • Capture high-quality photos, quotes, and activity notes for reporting and marketing.
  • Troubleshoot issues calmly and professionally, ensuring a positive experience for all attendees.
  • Provide support during meetings, including minute/record-taking where required.
  • Support the creation and scheduling of social media content, newsletters, and website updates.
  • Produce engaging event promotion materials and delegate communications.
  • Maintain brand consistency across all external-facing materials.
  • Collect and analyse event feedback, attendance data, and evaluation forms.
  • Produce short evaluation summaries for larger events and visual reports for internal and external use.
  • Maintain organised digital filing systems.
  • Work with the Finance & Office Administrator to ensure smooth procurement, invoicing, and budget tracking for events.

Essential

  • Highly organised, proactive, flexible, solution focused and able to manage multiple priorities.
  • Ability to work independently and use initiative.
  • Strong project coordination skills with the ability to anticipate needs and take initiative.
  • Confident communicator with excellent relationship-building skills.
  • Comfortable representing the organisation as the first point of contact.
  • Strong written communication and attention to detail.
  • Experience supporting and coordinating meetings, events or projects.
  • Competent with digital tools (Google Drive, Microsoft Teams, social media platforms).
  • Willingness to work occasional evenings or weekends for events.

Desirable

  • Experience in the charity, community, or education sectors.
  • Photography or content-creation skills.
  • Experience producing marketing materials or social media content.
  • Understanding of accessibility and inclusive event design.
