Key Accountabilities and Responsibilities of the PMO Specialist
- Governance and Assurance: Support the implementation and monitoring of governance structures across the project portfolio. Ensure compliance with standards, document control, and assurance processes.
- Planning and Scheduling: Assist in the development and maintenance of project schedules and milestone plans. Work with project managers to integrate third-party inputs and align schedules with delivery timelines.
- Tools and Techniques: Maintain and enhance digital project management tools like Jira and Confluence. Use JQL scripting to create custom queries and filters. Develop and maintain Tableau dashboards to visualize KPIs, timelines, and resource utilization.
- Risk, Opportunity and Issue Management: Maintain risk and opportunity registers. Facilitate workshops and ensure timely escalation and reporting of risks. Help identify and mitigate delivery risks.
- Change Control: Administer change control processes, ensuring documentation is accurate and tracking is up-to-date. Support review and approval workflows as per governance protocols.
- Stakeholder and Communications Management: Maintain stakeholder maps and communication plans. Support effective engagement and cross-functional collaboration, including internal and external reporting.
- Performance Measurement and Reporting: Support the definition and tracking of delivery KPIs. Generate regular reports and insights to assist in decision-making at the project and portfolio levels.
- Reviews and Continuous Improvement: Coordinate lessons learned sessions and integrate findings into future projects. Support continuous improvement initiatives and the sharing of best practices.
- Resource and Pipeline Planning: Assist with pipeline planning by analysing resource needs across short, medium, and long-term timelines. Collaborate with planners and delivery teams for capacity planning.
- Dependency and Integration Management: Track interdependencies across projects to ensure alignment with strategic goals. Help integrate schedules, risks, and reporting across delivery streams.
- Capability Development: Support onboarding and mentoring of new PMO team members. Promote knowledge sharing through digital platforms and forums.
- Customer-Centric Delivery: Assist in measuring and improving delivery from a customer perspective. Embed customer feedback into delivery processes to foster a Customer Love culture.
Essential Knowledge, Skills, and Experience of the PMO Specialist:
- Advanced planning/scheduling capability.
- Proven process improvement experience.
- Strong document control knowledge.
- Skilled in MS Office and project planning tools.
- Excellent communicator with the ability to simplify complex messages.
- Degree or equivalent experience.
- Experience in PMO, project analyst, or support roles in complex environments.
- Familiarity with project/programme/portfolio methodologies (e.g., APM, PRINCE2).
- Proficiency in Jira and coding languages for reporting and dashboards.
- Experience with Tableau or similar data visualization tools.
- Strong analytical and data interpretation skills.
- Knowledge of risk, issue, and change control processes.
