Up to £30k Permanent Full Time, 37.5 hours per week, flexible on starting/finishing - 25 days holiday, 2 days a year volunteering for a charity of your choice, support, induction, CPD opportunities. Birkenhead, 2 days a week in the office, rest from home or office.

Due to continued growth across Care, Data and AI apprenticeship programmes, our client is looking to appoint a highly organised and detail-focused Programme & Onboarding Coordinator to support learner onboarding, compliance and programme administration activities across the business. This is a pivotal role within the organisation, supporting Skills Coaches and operational teams to ensure learners are enrolled accurately, compliantly and experience a seamless transition into learning.

Reporting to the Head of Learner Experience you will play a key role in managing the end-to-end onboarding process for apprentices, ensuring all learner records, funding documentation and ILR-related data are accurate, audit-ready and processed efficiently. This role would particularly suit someone with previous experience in:

  • ILR administration, Apprenticeship onboarding, Funding compliance
  • Learner enrolment, Training provider administration
  • Apprenticeship programme coordination

Key Responsibilities

  • Learner Onboarding & Administration
    • Coordinate end-to-end onboarding of apprenticeship learners
    • Act as the main point of contact for onboarding queries from learners, employers and internal teams
    • Schedule enrolment activities and ensure onboarding milestones are achieved
    • Maintain learner onboarding trackers and documentation
  • Compliance & Funding
    • Complete learner eligibility and compliance checks in line with DfE funding rules
    • Ensure all enrolment documentation is accurate and fully completed including:
      • Training Plans
      • Apprenticeship Agreements
      • Eligibility evidence
      • Employer contribution documentation
    • Support audit readiness and compliance assurance activities
  • ILR & Systems Management
    • Accurately update learner records across Bud and ILR-related systems
    • Ensure learner data is complete, consistent and audit compliant
    • Track onboarding progress and proactively flag delays or risks
    • Support operational reporting requirements
  • Programme Registration & Certification
    • Coordinate awarding organisation registrations and certification processes
    • Ensure timely and accurate submissions
  • Cross-Team Coordination
    • Work closely with:
      • Skills Coaches
      • Compliance & Funding teams
      • Employer Engagement / BD teams
      • Programme Managers
    • Support smooth transition from onboarding into active learning delivery

Essential Experience

  • Experience working within apprenticeships, funded training or further education
  • Strong understanding of DfE funding rules and compliance
  • Experience using learner management systems such as Bud
  • Previous experience supporting ILR processes and/or audit preparation
