The Operations Coordinator will play an integral role within Timeline TVβs Operations team, undertaking a range of key coordination and administrative duties to support the smooth and efficient running of the facility.
The role will be responsible for coordinating day-to-day operational activities, maintaining office and staff supplies, supporting facilities management, and working closely with the Resources, Stores, Maintenance and Engineering teams.
We are looking for a highly organised and proactive individual with excellent time management, communication and interpersonal skills. The successful candidate will be able to work independently, manage competing priorities and demonstrate a high level of attention to detail. Proficiency in Microsoft Office is essential.
Please note that this is an office hours role based across our Ealing and Reading offices.
Main Duties
- Assist with day-to-day facilities management, liaising with suppliers and other general duties
- Working with the maintenance and engineering teams to raise Returns Materials Authorisations (RMAs) and organise shipping of kit needing repair
- Raising and sending Purchase Orders for various departments
- Arranging couriers and deliveries as well as tracking spend of couriers across jobs
- Work with the Stores Department to assist in day-to-day logistics
- Coordinating the goods in/out process and organising/filing delivery notes (Both hired and own)
- Monitor and distribute office, kitchen and staff uniform supplies, ensuring adequate stock levels are maintained.
- Open, sort and scan incoming post, ensuring correspondence is distributed promptly to the relevant departments
- Carry out routine fire alarm testing in accordance with company procedures
- Monitor, replenish and maintain first aid kits and defibrillator supplies, ensuring they are appropriately stocked and accessible
- Arrange meeting rooms and coordinate refreshments and other requirements where necessary
- Provide general administrative and operational support to the Resources and Operations teams
- Support other reasonable duties and ad-hoc operational requirements as required
