We are delighted to be working with a highly respected organisation in Ipswich who are looking to appoint an Invoicing Clerk to join their growing team. This is a fantastic opportunity for a detail-oriented and proactive individual who thrives in a fast-paced environment and enjoys taking ownership of their work. This position plays a key role in supporting operational efficiency and ensuring a smooth invoicing process across the business.
The successful candidate will be responsible for ensuring all service jobs are processed accurately, purchase orders are chased promptly, and invoices are issued within 24 hours of job completion.
Key Responsibilities- Produce and complete job cards on the same day jobs are carried out.
- Review engineer notes and photos, ensuring all relevant details are recorded accurately.
- Request and chase customer purchase orders to avoid invoicing delays.
- Generate accurate invoices within 24 hours of job completion.
- Work closely with engineers, controllers, and managers to ensure all information is correct and up to date.
- Resolve any invoice queries quickly and professionally.
- Maintain trackers, invoicing logs, and outstanding item lists.
- Support continuous improvement initiatives within the invoicing and administration process.
- Exceptional attention to detail and high levels of accuracy.
- Excellent organisational and time-management skills.
- Strong communication skills, both written and verbal.
- Ability to work efficiently in a busy, fast-paced environment.
- Proficient in IT systems and comfortable handling administrative tasks.
- Previous experience within invoicing, finance administration, or service administration.
- Experience using Simpro, Odoo, or similar job management systems.
