Role Overview
The Compliance Administrator will assist with the day-to-day administrative support and requirements of Transport and Health & Safety compliance management.
Reporting To: Senior Manager – Transport
Liaising With: H&S Senior Manager, Office Staff, Suppliers, Visitors, Site Crews
Qualifications & Experience
- GCSEs (or equivalent) / NVQ in Office Administration or Computer Skills
- Proven track record of working within a professional office environment
- Strong MS Excel and MS Word skills (ECDL or similar desirable)
- Excellent written and verbal communication skills
- In-house training will be provided on company administration processes
Key Responsibilities
- Provide administrative support to the Senior Manager in all aspects of day-to-day fleet maintenance
- Assist in maintaining the company’s Operator Licence and FORS Bronze accreditation
- Schedule MOTs, servicing, pre-maintenance inspections, tyres, tax, insurance, tachograph calibration, plating certificates, and repairs; book any additional required work
- Maintain, log, and review records of motor incidents, including liaising with insurers and arranging repairs; compile reports for internal use
- Monitor and update driver infringements, follow up with drivers to download digital tachograph cards, and arrange tachograph training with third-party providers
- Download vehicle tachograph units as required
- Maintain web-based vehicle management systems, update driver profiles, and issue relevant information to drivers
- Ensure all drivers have signed relevant company vehicle policies; issue driver handbooks and track outstanding documentation
- Carry out basic eyesight checks (every six months)
- Maintain accurate filing systems (electronically where possible)
- Publish weekly driver and vehicle reports on the company noticeboard
- Order and cancel fuel cards as required
- Record and review vehicle-related invoices
- Ensure all work complies with GEL health & safety, quality, and environmental policies and procedures
- Take responsibility for your own health and safety and that of others who may be affected by your work
