We are seeking an experienced, competent, dynamic, and proven Proposals Coordinator within our Regional Preconstruction team to operate within the Yorkshire and North East region - a £100m turnover regional business working across a variety of market sectors. The Proposals Coordinator will support the Preconstruction/Work Winning team in the creation and preparation of bids and proposals, including Expressions of Interest, Capability, Selection Questionnaires and Tenders. They will take ownership of incoming enquiries and notices, maintaining all bid documentation and systems necessary to support the team, along with fulfilling general administrative duties.
What you will be doing:
- Support and contribute to production of designated bid/prequalification related qualitative responses and taking individual responsibility for sections.
- Completion of selection questionnaires using standard company information.
- Capturing, collating information, and evidencing best practice for use in submissions and development of case studies.
- Work closely with site teams to gather necessary information.
- Managing and updating internal information libraries and trackers with details of project pipelines, submissions, past projects, and CV’s etc.
- Liaison with other regions and central teams to share information on request and via central SharePoint sites.
- Management of client bidding portals, uploading, downloading, collating and transmitting information to bid teams and business development managers.
- Uploading information to common data environment and information management systems.
- Willing to interact with the team and offer suggestions, innovation, and ways to continuously drive improvement.
- Continual/weekly checking/challenging of the bid process/progress with the whole bid team – ensuring best practice and deadlines are maintained.
- Conduct research (web based or otherwise) on clients and projects to aid and tailor responses.
- Feed into tender deliverables, proposals writing plan and dates required by bid team (with Bid and Proposals Manager).
- Contribute to mid-bid or red team reviews.
What we need from you:
- Proven experience of working in a similar role and in a bidding environment (essential).
- Evidence of contributing to bid submissions.
- Evidence of managing and updating internal information libraries.
- Using client procurement portals and management of bid documentation.
- Contributing to formatting, finishing, proof reading and editing of submissions.
- Sharing and obtaining information with/from other parts of the business.
- Able to abstract technical notes or a verbal response from others into narrative and case studies.
- Ability to undertake independent research and analysis.
- Understanding of construction and procurement processes (desirable but not essential).
- Able to work to deadlines whilst producing the highest standard of work.
- Able to work as part of a team or individually.
- Excellent IT skills (essential) and proficient in using MS office, PowerPoint and SharePoint.
- Use of InDesign (essential).
- Use of AI software (desirable).
- Full Driving Licence (desirable).
