We are currently seeking a proactive and detail-oriented Operations Coordinator to join our dynamic Operations team. This is an excellent opportunity for a skilled professional with a strong background in operations and logistics who thrives in a fast-paced environment. You will play a pivotal role in supporting our e-commerce, logistics, and administrative functions.
Customer Communications
- Handle customer communications regarding orders, deliveries, stock availability, and product queries.
- Accurately process e-commerce sales across platforms such as our website, Amazon, eBay, and B&Q.
- Manage Klarna payments and ensure accuracy of transactions.
- Monitor and manage back orders daily.
- Notify Team Managers of any out-of-stock items.
Email & Customer Communication
- Ensure appropriate delivery services and payment methods are applied.
- Respond to customer enquiries in a timely, professional, and accurate manner.
- Log, resolve, and follow up on customer issues and internal tasks.
Logistics Coordination
- Coordinate daily with logistics partners regarding order dispatch and issue resolution.
- Handle claims related to damaged or failed deliveries, including documentation.
- Provide Proofs of Delivery (PODs) upon request.
Administrative Support
- Track outstanding back orders and follow up as required.
- Report any stock inconsistencies to the Line Manager.
What We’re Looking For
- Minimum 2 years of experience in operations and logistics.
- Strong IT skills and confidence with numerical data.
- Excellent written and verbal communication skills.
- Ability to work well under pressure - both independently and within a small team.
- Organised, self‑motivated, and solutions‑focused with a positive “can‑do” attitude.
Working Hours
- Monday to Friday, 08:00-17:00, 40 hours per week.
This is a fully office-based role located at our South Gyle site in Edinburgh.
