The Role

We are seeking a dynamic and self‑motivated Freelance Event Manager to assist with the planning and execution of an IT Conference. The ideal candidate will possess excellent organisational and communication skills. Working from our open‑plan Hampshire office, you’ll support the planning and delivery of this annual IT Conference. You’ll work closely with senior event managers, clients, suppliers, and stakeholders, helping to deliver this event.

What You’ll Do

  • Support the planning and delivery of a large-scale IT Conference from pre‑production through to live event execution (the live days are 6th and 7th October 2026).
  • Coordinate and manage delegate communications, registration processes, attendee journeys, and on‑site delegate experience.
  • Support the senior event managers on venue branding and event signage, ensuring all visual elements are delivered to brand standards and installed correctly on‑site.
  • Liaise with sponsors and exhibitors to coordinate sponsorship deliverables, branding assets, logistics, and event requirements.
  • Work closely with AV and production suppliers to support technical planning, stage management, speaker requirements and live event delivery.
  • Coordinate event logistics, including schedules, supplier management, accommodation, catering, transport, and production timelines.
  • Maintain clear and professional communication with clients, suppliers, venues, sponsors, and stakeholders at all levels.
  • Assist with budget tracking, supplier negotiations, and cost management.
  • Attend planning meetings, site visits, rehearsals, and provide hands‑on on‑site event support.
  • Ensure all project documentation, schedules, and workflows are accurately maintained using project management systems such as MONDAY and Excel.
  • Support health & safety compliance, risk assessments, and operational event procedures.
  • Work collaboratively with the wider team to ensure smooth project delivery across a busy event calendar.

Essential Experience & Skills

  • Proven experience managing or supporting large‑scale conferences and live events.
  • Minimum of 4 years’ relevant experience within the events industry, ideally within an agency, conference organiser, or corporate events environment.
  • Strong experience in:
    • Delegate management and registration processes
    • Venue branding and event signage
    • Sponsorship coordination and exhibitor management
    • AV and technical production coordination
  • Ability to manage multiple priorities and deadlines within a fast‑paced environment.
  • Excellent organisational and communication skills.
  • Strong attention to detail with a proactive and solutions‑focused approach.
  • Experience working alongside production, technical, and venue teams.
  • Confidence liaising with clients, suppliers, sponsors, and stakeholders.
  • Ability to remain calm and professional under pressure during live event delivery.
  • Proficiency in Microsoft Office, including PowerPoint, Word, and Excel.
  • Experience using project management platforms such as MONDAY or similar systems.
  • Full UK driving licence and valid passport preferred.
  • Agency experience is highly desirable.
  • Previous experience working on IT or technology conference.
  • Knowledge of event apps and delegate registration platforms.
  • Experience supporting VIP or corporate client events.
