Operational Duties and Office Admin
- Answering phone calls and attending to walk-ins
- Managing general email, mailbox, registered mails, room booking and replenishing forms
- Ensuring cleanliness and tidiness of the whole centre
- Ensuring working conditions for equipment
- Stock Replenishment (stationeries, toiletries, pantry items, cleaning supplies, first aid box, toner etc.)
- Meeting and event logistics preparation
- Onboarding and offboarding of staff
- Managing door access, CCTV and phone system
- Training
- Updating and collating forms and reports for Centre Head
- Quotation and budget request for all programmes
- Procurement (Office Purchases)
- Getting quotation and putting up for budget request
- Upon PR approval, submitting order
- Preparing and comparing Budget vs Actual expenses
- Donation-in-Kind (DIK)
- Checking and recording of all donated items received on the receipt book and inventory management
- Submission to Accounts for checking and verification
- Any other duties as assigned by Management
- Assisting Secretariat for FS Heads meeting
- KST2 attendance for workshops
- FS Culture expenses
- Submission of monthly claims by Staff and Locum
- Admin matters related to Locums
Qualifications
- Minimum Diploma Holder
- Proficient in MS Office
- Relevant experience in Office Admin
- Good in multi-tasking and documentation
- Able to handle confidential information with discretion
- Takes accountability and possesses good mindset, attitude, and interpersonal skills
- Able to work independently and is also a team player
