We are looking for a proactive and organised Operations & Facilities Coordinator to join a growing Facilities Management business in Bristol.
This varied role combines customer service, reactive facilities coordination, sales support, tender administration, and business development.
You will work closely with customers, engineers, subcontractors and suppliers, while also supporting the company's sales pipeline and helping identify new business opportunities.
Key Responsibilities
Act as the first point of contact for customers by phone and email.
Coordinate reactive maintenance jobs and ensure SLAs are met.
Liaise with engineers, subcontractors and suppliers.
Obtain quotations and raise purchase orders.
Prepare customer quotations and sales invoices.
Keep customers updated throughout the job process.
Support tenders, sales enquiries and new business opportunities.
Maintain CRM systems, job records and sales pipelines.
Research and identify potential new customers.
Use LinkedIn and other platforms to support lead generation.
Identify opportunities to upsell and cross-sell services.
Support the company's LinkedIn and digital presence.
Explore AI and technology to improve sales and administrative processes.
Provide out-of-hours Duty Manager support on a 1-in-8 emergency rota.
Skills & Experience:
Experience in Facilities Management, customer service, sales, business development, sales administration or tender coordination.
Strong organisational and administrative skills.
Excellent communication skills.
Confident using Microsoft Office/365, LinkedIn and digital platforms.
CRM or job management system experience is desirable.
Strong attention to detail and ability to manage multiple deadlines.
Commercially aware and proactive.
Confident communicating with customers, suppliers and prospective clients.
Interested in AI, technology and business development.
Facilities Management experience is desirable but not essential.
