This position will be responsible for assisting all areas of the sales team. They will be responsible for general reception duties including, but not limited to, answering the phone, organising samples, dealing with general enquiries and helping with technical requests from both external and internal customers. In addition, the position is required to offer support to the UK, US and International Estimators during particular busy periods, absences and holiday periods by processing quotes. They will interface with internal & external customers as well as cross functional departments to ensure the overall company objectives are performed in accordance with established company policies and procedures. The individual must lead by example and be a team player and work in a cooperative and supportive manner. The candidate will gather and submit information for monthly reporting. This position reports directly to the Sales Operations Manager.
Essential Duties and Responsibilities include the following:
- Responsible for answering the phone and directing calls to the relevant department/person.
- Issue mini-cubicle samples to the factory.
- Source material samples direct with suppliers as required.
- Complete questionnaires for Contractors wishing to place orders.
- Complete online questionnaires for accreditation by third parties e.g. Constructionline, Builders Profile.
- Manage and support day-to-day enquiries from Architects, Contractors and Distributors.
- Process orders, additions, and revisions in a timely manner.
- Gathering information from drawings specifications and related documents to enable production of accurate quotations for customers.
- Liaison with planning, design, commercial and procurement functions to enable production of accurate quotations for customers.
- Sourcing costs from suppliers required pricing, to enable production of accurate quotations for customers.
- Prepare and manage quotations, which includes collecting feedback, negotiating quotes, and drafting the quotation as required.
- Assist with updating sales data daily for the month end report.
- Maintain a safe work environment and report unsafe conditions as required.
- Participate and submit new and improved work methods as per the Suggested Method Improvement program.
- Perform other duties as assigned.

Education and/or Experience: Secondary school level of education, with Mathematics and English GCSEs at grade A-C or Grade 5 +. Willingness to complete a customer service apprenticeship in partnership with a local college, gaining valuable on-the-job experience and formal qualifications. Basic Microsoft Office skills. Excellent communication skills: both written and verbal. Ability to operate in a fast-paced open office environment. Demonstrate high level of attention to detail. Excellent organisation skills and the ability to manage multiple tasks at any one time. Strong interpersonal skills and the ability to work effectively on their own and in a team environment with employees in all environments. Demonstrated ability to multitask and work in a fast-paced office environment. Adaptable, flexible and open to change.
Language Skills: Ability to read and interpret documents such as drawings, BOQs, safety rules, and procedure manuals. Ability to write routine reports and correspondence.

While performing the duties of this job, the employee is occasionally required to carry samples of up to 10kg. They are also required to read and visually observe with close vision, distance vision and colour vision. Noise level is usually moderate.
