The Personal Assistant/Team Co‑ordinator role is accountable for providing comprehensive executive‑level support to multiple leaders at Level 2, ensuring seamless daily operations and efficient execution of day‑to‑day priorities. Acts as a trusted partner, managing communication flow, diary prioritisation, anticipating needs, and proactively resolving challenges to enable the team's success.
What you’ll do:
- Accountable for providing comprehensive executive‑level support to multiple members of the Consumer leadership team, ensuring seamless daily operations and effective calendar prioritisation.
- Act as a point of contact and liaison, effectively communicating with internal and external stakeholders at all levels as necessary.
- Manages the needs of leadership members, maintaining a high‑level understanding of their priorities, projects and initiatives, anticipating potential challenges, and proactively identifying and implementing solutions.
- Manages complex calendars, coordinates internal and external meetings, and arranges travel arrangements with meticulous attention to detail and efficiency.
- Manages expenses, processes invoices, ensuring all align with relevant company policies and procedures.
- Ensures timely creation and management of PO’s.
- May provide administrative support where capacity allows to wider management team with regards to diary management, travel arrangements, expenses and other administrative duties.
- Partners with other PA’s and supporting staff across the organisation to ensure seamless coordination and communication.
- Provides cover for ELT Executive Assistants during periods of absence.
- Organising events and supporting coordination of diaries for large‑scale meetings.
- Completion of administrative project activity from time to time as needed.
Qualifications:
- Previous experience of providing comprehensive administrative support to one or more senior team members within a fast‑paced and demanding telecommunications environment.
- A self‑starter who is extremely organised, meticulous attention to detail, good humour under pressure, highly professional with strong prioritisation and excellent communication skills.
- Good at managing complex calendars, coordinating travel arrangements, and anticipating the needs of senior stakeholders.
- Ability to maintain confidentiality & handle sensitive information with discretion, anticipate challenges and take initiative.
- Strong technical proficiency, including advanced skills in Microsoft Office Suite, particularly Outlook, PowerPoint, and Excel.
