We are looking for a highly motivated and detail-oriented Office Admin Assistant to join our team in Potters Bar. The Role
As an Office Admin Assistant, you will be responsible for overseeing a range of administrative tasks, while also being involved in sales support and client interactions. This role combines office administration with the opportunity to contribute to the growth of the business through client outreach and sales responsibilities. You’ll play an important part in managing client relationships and helping to drive business forward.
Key Responsibilities
- First Point of Contact: Answering and directing calls, responding to emails, and ensuring messages are passed on promptly.
- Data Entry & General Office Admin: Handling administrative tasks, maintaining data accuracy, and ensuring proper filing systems.
- Procedure Implementation: Assisting in creating and maintaining office procedures and administrative systems.
- Finance Support: Assisting the Finance department with tasks such as creating invoices (Xero experience is advantageous but not essential).
- Client File Management: Creating, maintaining, and retrieving client files, ensuring data is kept up-to-date.
- Diary & Calendar Management: Managing emails, calendars, and diaries (Outlook), including booking jobs (Re-Flow) and appointments (Keap).
- Client Enquiries: Processing new client enquiries, answering general client questions, and managing bookings.
What We Need from You
- IT Skills: Proficiency in Microsoft Office (Xero is desirable but not essential).
- Sales Experience: Any prior experience or interest in sales is beneficial. You’ll be involved in supporting sales activities, generating leads, and engaging with potential clients.
- Self-motivated & Driven: You should be proactive and able to take initiative.
- Resilience: Able to manage a busy workload and meet deadlines.
- Communication: Strong verbal and written communication skills.
- Presentation: Excellent telephone manner and good presentation skills.
- Influencing & Negotiating: Ability to influence and negotiate effectively, particularly with clients.
- Commercial Awareness: A strong understanding of business processes and goals.
- Numerical Skills: Comfortable working with numbers, especially in invoicing and data entry.
Salary and Benefits
- Salary: £22,000 – £27,000 per annum (depending on experience)
