A forward-thinking energy services organisation in Dyce is seeking an Onshore Services Administrator to support workshop, stores and rental operations on a permanent basis.
This varied role offers the opportunity to work closely with operational teams, managing documentation, job records and certification processes within a busy and collaborative environment.
This Onshore Services Administrator position plays a key role in supporting the day-to-day operations of a busy workshop, stores and rental function.
Reporting to the Onshore Services Supervisor, this opportunity is well suited to someone who enjoys working in a structured, documentation-focused role while collaborating closely with operational teams.
You will be responsible for ensuring all job-related documentation, certification and system updates are accurate, compliant and completed in a timely manner.
The role sits at the centre of operational activity, supporting job lifecycle processes from creation through to completion and invoicing.
Main Duties and Responsibilities
- Managing all Onshore Services documentation, ensuring certification is accurate, complete and properly stored.
- Overseeing job administration including creating, updating and closing job cards, maintaining job files, and ensuring timely system updates to support invoicing.
- Inputting timesheets and maintaining records across Business Central and Share Point, ensuring all data, traceability and reports are up to date.
- Coordinating operational documentation including proformas, call-offs, delivery notes, manifests and export/import paperwork.
- Monitoring and maintaining certification, calibration, testing records and equipment registers, ensuring compliance at all times.
- Supporting procurement activities, stock checks, client systems (e. g. Maximo, Ariba) and provide general administrative support to workshop and stores teams.
