The Role
As the Office Assistant, you’ll be the face of our London office, supporting engineers, managing administrative tasks, and ensuring a welcoming, efficient workspace. This is an office-based role.
Responsibilities
- Coordinate RFPs/proposals with Marketing and track submissions in Microsoft Dynamics.
- Manage client follow-ups for proposals, contracts, and invoices to ensure timely responses and completion.
- Provide administrative support on complex projects, including invoicing and expenses tracking.
- Support the Office Manager with daily office operations – including greeting visitors, receiving deliveries, answering calls, monitoring supplies and booking meeting rooms.
- Maintain a clean, organised and well‑maintained office environment.
- Assist the Office Manager with coordinating catering and preparing meeting rooms for lunch meetings, training sessions/presentations, along with larger in‑house events.
Requirements
- 2+ years of experience in administration or team coordination.
- Proven ability to multitask, prioritize, and solve problems proactively.
- Strong interpersonal and communication skills.
- Proficiency in Microsoft Office Suite.
- Highly organised and adaptable to shifting priorities.
- First Aid qualified would be advantageous.
