Overview

We are seeking a motivated and detail-oriented Administrator to join our team on a part-time basis. The ideal candidate will be responsible for a variety of administrative and organizational duties, supporting multiple teams to ensure smooth daily operations. As an integral part of the company, you will maintain efficiency and provide proactive support in a collaborative and inclusive environment.

Responsibilities

  • Update and maintain internal IT systems, including Google Docs, Excel, and Sage.
  • Raise purchase orders and ensure accurate invoicing in a timely manner.
  • Provide administrative support to the sales and warehouse teams.
  • Attend and actively participate in daily team and management meetings.
  • Liaise with management and team members to coordinate tasks effectively.
  • Manage office supplies, ensuring adequate inventory while staying within budget.
  • Organize lunch and refreshments for meetings and events as needed.
  • Perform general office duties, such as answering phone calls, copying, scanning, data input, and maintaining documentation.
  • Contribute to creating a welcoming and positive office atmosphere for all employees and visitors.

Qualifications

  • Previous experience in an administrative role or similar position preferred.
  • Proficiency in IT systems, specifically Google Docs, Excel, and Sage. (desirable)
  • Excellent organizational and time-management skills.
  • Strong communication skills, both verbal and written, with the ability to liaise with a diverse range of team members and stakeholders.
  • A proactive, problem-solving mindset with keen attention to detail.
  • Ability to multitask and prioritize responsibilities efficiently.
  • Comfortable working independently as well as collaboratively.

Day-to-Day

  • Start your day by updating key internal IT systems and reviewing tasks for the day.
  • Attend the daily team meeting to discuss priorities and align with the sales and warehouse teams.
  • Handle purchase orders, invoices, and any data input tasks required for the day.
  • Collaborate with team members and management to address any immediate needs or challenges.
  • Organize office supplies and assist with preparations for meetings, including arranging refreshments.
  • Take calls, manage digital correspondence, and tackle ad-hoc administrative tasks as they arise.
  • End the day with a review of completed tasks and follow-ups on outstanding items.

The working hours are 9:30am-14:30 Monday to Friday (can be flexible with times).

The starting pay is Β£12.71/h
