Role Overview:
The Estate Manager will be responsible for overseeing the day-to-day operations, maintenance, and safety of a luxury residential property of circa 400 apartments. The development offers residents the exclusive use of a pool, spa, gym, and private club facility. This role requires a proactive individual with a keen eye for detail, ensuring that the property meets the highest standards of service and compliance.
Key Responsibilities:
- Team Supervision & Training
- Supervise and support the Concierge team; provide desk cover when needed.
- Conduct continuous training and ensure team compliance with company SOPs.
- Read daily front desk diary and provide updates to Estate Manager.
- Resident & Visitor Services
- Maintain a well-organised parcel room and manage package tracking.
- Assist with apartment access coordination (e.g., servicing schedules).
- Monitor and manage key handling and resident access systems (fobs, transmitters).
- Operational Oversight
- Perform routine inspections; log and maintenance, cleaning, and H&S issues.
- Liaise with the Cleaning Supervisor to uphold cleanliness standards.
- Oversee car park operations and liaise with parking patrol services.
- Administration & Compliance
- Keep leaseholder and resident records up to date.
- Monitor and action Concierge emails promptly.
- Review, archive, and manage operational log sheets and files.
- Ensure office supplies and communal area essentials (e.g., light bulbs) are stocked.
- Communication & Reporting
- Attend senior management meetings and prepare reports as required.
- Be available out of hours if necessary.
- Investigate and resolve package-related issues; communicate progress to Estate Manager.
Person Specification:
- Strong leadership and communication skills
- Detail-oriented with excellent organisational abilities
- Proactive problem-solver with customer service focus
- Reliable and flexible, including availability for out-of-hours support
- Proven experience in an Estate Manager role within the residential leasehold sector
- Preferably experience within high-end, Highrise residential properties, but not essential
- Good knowledge of building systems, maintenance procedures, and safety regulations.
- Excellent organizational and leadership skills, with the ability to manage multiple tasks effectively.
- Exceptional communication and interpersonal skills, with a focus on customer service.
- IWFM, TPI, NEBOSH, IOSH qualifications and memberships highly desirable.
