Job Purpose
The Admissions Officer will manage the end to end admissions process for pupils aged 11 to 16, encompassing the standard annual intake and mid term transfers. The role involves overseeing the school entrance test, delivering critical assistance to the examinations department, and providing high quality administrative support to ensure the efficient operation of the school.
Main Duties and Responsibilities
Admissions Management
- Coordinate the comprehensive admissions lifecycle for pupils aged 11 to 16.
- Collaborate closely with the entrance test provider and the local testing consortium on all administrative requirements.
- Organise and manage student data, logistics, and processes for the entrance testing day.
- Oversee the appeals process, including preparing documentation and liaising directly with families.
- Partner with the Marketing and Communications Officer to plan and execute successful school open days.
- Manage parent and student induction information meetings, serving as a primary coordinator.
- Process mid term and in year admissions efficiently to optimise student numbers on the school roll and manage waiting lists.
- Handle telephone and email enquiries from prospective families in an independent, professional, and welcoming manner.
- Conduct personalised school tours and visits for prospective parents and students.
- Represent the school positively, ensuring all communications uphold the core ethos, values, and profile of the institution.
Administrative and Examination Support
- Provide operational support to the Exams Officer during both internal and public examination periods.
- Assist with the administration and invigilation preparation for internal students and external candidates.
- Maintain accurate, secure database records and general administrative systems across the department.
Person Specification:
Essential Criteria
- Proven experience working within a school environment, ideally within a dedicated admissions capacity.
- Outstanding administrative skills with a thorough understanding of modern office practices.
- Strong IT literacy, specifically with Microsoft Office software and school management information systems.
- Exceptional communication skills, with the ability to convey complex criteria clearly to parents and stakeholders.
- Demonstrated capability to handle confidential, sensitive data in line with data protection regulations.
- High level of attention to detail and accuracy under pressure.
