The Functional Architect is the specialist bridge between business and technology for the joint UK P&I / TT claims platform. Combining deep claims domain expertise with advanced Microsoft Dynamics 365 functional knowledge, this role translates Target Operating Model (TOM) intent and operational requirements into clear, buildable, and testable solution designs.
Working in close alignment with Business Analyst and a Solution Architect, the Functional Architect ensures pragmatic, configuration first design decisions and protects long-term platform integrity. The role guides and mentors a Senior Business Analyst, who manages the product backlog and roadmap on behalf of the Product Owners, ensuring backlog items are precise, testable, and aligned to the TOM.
Key Responsibilities- Functional Ownership & Solution Design
- Act as the functional authority for the claims platform, shaping solution options that favour Dynamics 365 configuration and controlled extension.
- Convert TOM principles and process designs into detailed functional specifications, user stories, acceptance criteria, and configuration workbooks.
- Define end-to-end claims functional flows, control points, MI requirements, and integration touchpoints.
- Prepare structured decision inputs (such as configuration vs bespoke trade-off papers) for the Design Authority.
- Backlog Leadership & Product Owner Support
- Partner with Product Owners to shape epics and features that reflect shared TOM intent.
- Mentor and guide the Senior Business Analyst who manages the backlog, ensuring stories are INVEST-quality and traceable to TOM artefacts.
- Maintain alignment from TOM guardrails through to the backlog, build decisions, testing, and release sequencing.
- Dynamics 365 Expertise
- Own the functional configuration blueprint for Dynamics 365, including models, forms, workflows/Power Automate, business rules, security roles, and integrations.
- Identify where configuration meets need versus where extension is required, highlighting impacts on maintainability and upgrade paths.
- Work with the Technology Delivery Lead to ensure technical and architectural decisions support TOM intent, security, and performance.
- Design Authority & Governance
- Uphold the "common by default" principle and ensure club-specific variations are justified, transparent, and approved.
- Produce concise, well-structured functional papers to accelerate decision-making.
- Maintain clear documentation of design decisions, variant implications, and configuration standards.
- Test Readiness & Adoption Support
- Define TOM-aligned business scenario tests that validate real-world claims operations, controls, and MI.
- Support change, training, and readiness activities to ensure processes, role definitions, and procedures align to the configured solution.
- Contribute to user training materials, SOP creation, and operational adoption.

- Experience of shared platforms or multi-entity transformation programmes.
- Understanding of non-functional requirements in regulated environments (security, auditability, performance, resilience).
- Exposure to data migration, cutover, and parallel run planning in platform replacement programmes.
