About the Role

The HR Assistant provides administrative and welfare support to all staff and management.

The role provides administrative support across recruitment, employee onboarding, HR records management, communication of employee updates, and general HR processes to ensure confidentiality and compliance with company policies and employment legislation.

Key Responsibilities

  • Recruitment & Onboarding
  • Assist with drafting adverts for vacancies both internally and externally, coordinating recruitment activities
  • Manage communications with recruitment agents
  • Maintain recruitment records and applicant status
  • Schedule interviews and communicate with candidates and interviewers
  • Prepare offer letters, employment contracts, and onboarding documentation.
  • Coordinate and deliver new staff inductions.
  • Employee Administration
  • Maintain accurate employee personnel files and HR database
  • Process employee lifecycle documentation, including new starters, contractual changes, and leavers
  • Monitor probation review dates, contract renewals, and updates to Employment Law changes
  • Respond to routine employee queries regarding HR policies, procedures and welfare
  • Payroll & Benefits Support
  • Provide payroll input to Head of Finance, including attendance, leave, and employee changes
  • Support benefits administration and employee retention schemes.
  • Assist when requested with pension, insurance, and other employee benefit administration where applicable
  • HR Compliance
  • Ensure employee records comply with data protection and confidentiality requirements.
  • Liaise with the HR consultant to ensure compliance with employment legislation and company policies
  • Provide a monthly update to the Board on HR activities as required
  • Learning & Development
  • Coordinate and maintain training and development records.
  • Provide administrative support to ensure mandatory CPD and training within both individual and accredited institutions’ stipulations
  • Assist in organising employee development initiatives
  • Employee Relations
  • Support the management team with disciplinary, grievance, and performance management administration
  • Take meeting notes where required
  • Assist in organising employee engagement activities and wellbeing initiatives

Person Specification

Desirable Qualifications

  • Diploma or degree in Human Resources, Business Administration, or a related equivalent experience
  • Working towards or holding a recognised HR qualification

Experience

  • Previous administrative experience, preferably within a Recruitment environment
  • Experience using Microsoft Office applications
  • Experience maintaining confidential records
  • Knowledge
  • Understanding of HR processes and employment legislation
  • Knowledge of recruitment and onboarding practices
  • Awareness of data protection and confidentiality requirements within the role
